Job Description
The Executive Administrative Assistant I provides high-level administrative support to executives and senior leadership. This role ensures the smooth operation of day-to-day executive functions by managing schedules, coordinating meetings, handling correspondence, and serving as a trusted point of contact. The position requires strong organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Prepare, proofread, and edit correspondence, reports, and presentations for accuracy and professionalism.
- Serve as the first point of contact for internal and external inquiries, demonstrating professionalism and confidentiality.
- Coordinate logistics for executive meetings, including preparing agendas, taking minutes, and ensuring timely follow-ups.
- Maintain records, files, and databases to ensure accuracy and easy retrieval.
- Assist with expense reporting, budgeting support, and invoice processing as needed.
- Liaise with staff across departments to support executive initiatives and projects.
- Handle confidential information with integrity and maintain a high level of discretion.
Qualifications
- Associate's degree in Business Administration, Office Management, or related field (Bachelor's degree preferred).
- Minimum of 2–3 years of administrative or executive support experience.
- Previous experience supporting senior leaders or executives is strongly preferred.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools (e.g., Teams, Zoom, Slack).
- Experience managing calendars, travel arrangements, and expense reporting systems.
