Job Description
The Executive Administrative Assistant II provides high-level administrative support to senior executives, ensuring efficient operations and effective time management. This role requires strong organizational skills, the ability to handle confidential information, and the judgment to prioritize multiple demands in a fast-paced environment. The Executive Administrative Assistant II acts as a key liaison between executives, staff, clients, and external stakeholders, supporting business goals and maintaining professional standards.
Key Responsibilities
- Manage executive calendars, including scheduling meetings, coordinating travel, and organizing events.
- Prepare and edit correspondence, presentations, reports, and other professional documents.
- Serve as a primary point of contact for internal and external communications, screening calls and inquiries.
- Coordinate logistics for executive meetings, including agenda preparation, material distribution, and meeting minutes.
- Assist with project coordination, ensuring deadlines are met and deliverables are aligned with executive objectives.
- Maintain confidentiality and exercise discretion in handling sensitive information.
- Support budget tracking, expense reporting, and invoice processing.
- Build and maintain strong relationships with key stakeholders, vendors, and partners.
- Identify process improvements to enhance efficiency within the executive office.
Qualifications
- Bachelor's degree in Business Administration, Communications, or a related field preferred; equivalent work experience accepted.
- 5+ years of progressive administrative experience, with at least 2 years supporting executive-level leadership.
- Proven track record of managing complex schedules and coordinating high-level projects.
- Experience working in professional services, consulting, or technology environments is a plus.
Required Skills
- Exceptional organizational and multitasking abilities with keen attention to detail.
- Strong written and verbal communication skills, including the ability to draft executive-level correspondence.
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (Teams, Zoom, Slack).
- Ability to handle sensitive information with the highest level of confidentiality and discretion.
- Professional presence with excellent interpersonal skills to interact with executives, staff, and clients.
- Strong problem-solving skills and the ability to anticipate needs and take initiative.
- Adaptability and resilience in a fast-paced, evolving environment.
