Job Description
The Administrative Generalist Support III provides advanced-level administrative support across multiple departments, ensuring smooth daily operations and contributing to organizational efficiency. This role requires a high degree of professionalism, confidentiality, and attention to detail. The Administrative Generalist Support III acts as a trusted resource for leadership and staff, managing complex administrative tasks, coordinating cross-functional initiatives, and streamlining processes to support business objectives.
Key Responsibilities
- Provide high-level administrative and clerical support to executives, managers, and departmental teams.
- Manage calendars, schedule meetings, coordinate travel, and prepare expense reports.
- Draft, proofread, and format correspondence, reports, and presentations.
- Oversee the preparation, organization, and maintenance of records, files, and confidential documents.
- Support project coordination, including timelines, logistics, and follow-up on action items.
- Serve as a liaison between departments, staff, and external stakeholders.
- Assist with onboarding and training of new staff in administrative processes and systems.
- Develop and maintain standard operating procedures to improve efficiency.
- Ensure compliance with company policies and maintain data confidentiality.
- Provide backup coverage for other administrative staff as needed.
Qualifications
- Associate's degree in Business Administration, Office Management, or related field (Bachelor's degree preferred).
- 5+ years of progressive administrative experience, with at least 2 years supporting senior leadership or multiple departments.
- Strong knowledge of office management practices, organizational policies, and administrative procedures.
- Experience with project coordination and cross-functional support.
Required Skills
- Exceptional organizational and time-management skills, with the ability to prioritize competing demands.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.
- Familiarity with HRIS, project management, or ERP systems (preferred).
- Ability to work independently while maintaining a collaborative mindset.
- High level of discretion and professionalism when handling confidential information.
- Strong problem-solving skills and adaptability in a fast-paced environment.
