Glass Roots Construction is seeking an Executive Assistant to support the Executive Leadership Team (ELT) and reporting to Kerstin, CFO. This role is critical in helping our leaders operate efficiently by managing calendars, coordinating travel, maintaining business licensing and right to work compliance documentation, supporting events, managing data, and performing a variety of administrative tasks. The ideal candidate is highly organized, proactive, detail-oriented, and located in the Mountain Time Zone (Colorado preferred). While this position reports into the CFO, they will be supporting 3-5 different leaders and will need to be able to collaborate across the business and all levels of the organization.
Key Responsibilities
- Manage ELT calendars, schedule meetings, and coordinate internal and external appointments
- Arrange travel including flights, lodging, ground transportation, and detailed itineraries as required
- Support business operations by managing mail distribution and routing calls/voicemails from the main line
- Prepare reports, presentations, and correspondence as needed
- Maintain business licensing, right-to-work documentation, and compliance tracking
- Organize and coordinate events, meetings, and company functions
- Manage data entry and databases, ensuring accuracy and accessibility
- Support administrative tasks including expense reports, vendor coordination, and office management
- Serve as a liaison between ELT, internal teams, and external stakeholders
- Anticipate leadership needs and proactively address them
- Other duties as assigned to support the team
Qualifications
- 3+ years supporting senior leadership or executive teams
- Excellent verbal and written communication skills
- Strong organizational, prioritization, and time-management abilities
- Proficiency in Microsoft Office or Google Workspace including and especially Google Sheets and Google Slides; experience with project/task management tools a plus
- High level of discretion and ability to maintain confidentiality
- Ability to adapt in a fast-paced and evolving environment
- Event planning and logistics experience preferred
- Familiarity with licensing, compliance, or right-to-work documentation preferred

- Compensation range: $70,000 - $85,000 + 10% bonus
- Target Start Date: 2-3 weeks from offer
