About the Role
We are seeking a highly organized and detail-oriented Office Administrator to support day-to-day operations and help maintain a smooth, efficient workplace. This role is ideal for someone who thrives in a fast-paced environment, communicates effectively, and takes pride in keeping processes and administrative functions running seamlessly.
This position is in-person at our Scott’s Addition office 5 days per week from 8am - 5pm.

Cross-Functional Support
Partner with HR, leadership, and management teams to support day-to-day operationsAssist across teams with administrative needs and special projectsHelp improve processes and keep teams aligned and organizedKeep Office Administrator Core Process documentation up to dateWork with Accounting to process checks as well as scanning and preparing other finance and accounting-related paperwork
Employee Relations
Coordinate new hire onboarding, including scheduling, documentation, and equipment/workspace setupFacilitate offboarding processes, including equipment return, access removal, and exit documentationMaintain accurate employee records and support internal HR processesServe as a point of contact for administrative employee needsBuild and sustain company morale through birthday and workaversary cards and Slack engagement
IT Support Coordination
Assist with employee technology setup, including laptops, accounts, and system accessCoordinate with internal or external IT partners (Apple Business, Mosyle) to resolve technical issuesTrack and manage inventory of office equipment and technology assetsSupport basic troubleshooting and ensure timely resolution of IT-related requests
Event Planning
Plan and coordinate internal events such as team meetings, trainings, and 2x per year Offsite/Onsite company gatheringManage logistics, including scheduling, vendors, catering, and materialsSupport execution of events to ensure a smooth and positive employee experience
Travel & Logistics
Coordinate employee travel arrangements, including flights, accommodations, and itinerariesManage travel documentation and ensure alignment with company policiesAssist with logistical planning for offsite meetings and team events
Building Management
Oversee day-to-day office operations and ensure a well-maintained workspace, including, but not limited to, plant care, building access, food and beverage stocking, straightening conference rooms, answering phonesCoordinate with building management, vendors, and service providers as neededManage office supplies, inventory, and orderingEnsure the office environment is comfortable, organized, safe, and fully functional
Business Development Support
Professionally field prospective client calls, take detailed notes, and share with Business Development teamSupport the business development team with administrative tasks to ensure smooth client onboarding such as: Build and ship client welcome boxes and materialsSet up and organize client folders in Google DriveCreate and support project setups in BasecampQualifications2+ years of administrative or office support experienceBased in or within 20 miles of Richmond, VA Ability to work onsite 5 days per week. Excellent written and verbal communication skillsStrong organizational skills with exceptional attention to detailAbility to manage multiple priorities and meet deadlinesProficiency with common office tools (e.g., Google Workspace, Microsoft Word, Excel, and Basecamp)

Expected base salary range is $55,000 - $65,000 annually, based on experience
