The Diagnostic Imaging Department at Northeastern Vermont Regional Hospital (NVRH) is seeking a highly organized, detail-oriented Medical Secretary to support the daily operations of a fast-paced, patient-centered imaging department. This role goes well beyond traditional clerical work and is integral to patient flow, provider communication, order accuracy, and overall department efficiency.
What You’ll Do Day to Day
As a Medical Secretary in Diagnostic Imaging, you will serve as a key point of contact for patients, providers, technologists, and clinical teams. Responsibilities include, but are not limited to:
- Greet and assist patients, families, and visitors in person and by phone, ensuring a professional and compassionate experience.
- Manage a high volume of incoming calls, prioritizing and routing inquiries appropriately.
- Perform accurate order entry for diagnostic imaging exams, including verification of provider orders, indications, and required documentation.
- Coordinate patient scheduling and flow across multiple imaging modalities, working closely with technologists, nursing staff, and providers.
- Maintain and manage imaging-related medical records, including scanning, copying, faxing, and preparing records for transfer, continuation of care, or discharge.
- Ensure compliance with regulatory and departmental requirements related to documentation, patient identifiers, and confidentiality.
- Facilitate communication between Diagnostic Imaging, referring providers, nursing units, registration, and external offices.
- Track and manage imaging requisitions, follow up on incomplete or incorrect orders, and resolve discrepancies.
- Assist with department workflows, quality initiatives, audits, and special projects as assigned.
Adapt to frequent interruptions and changing priorities while maintaining accuracy and professionalism.
What We’re Looking For
- Previous experience in a medical office, hospital, or clinical support role preferred.
- Strong knowledge of medical terminology and electronic medical record (EMR) systems.
- Exceptional organizational, communication, and multitasking skills.
- Ability to work independently while also functioning as a collaborative member of a multidisciplinary team.
- Comfort working in a fast-paced environment with competing demands.
