Position Profile
The Facilities Coordinator provides exceptional service while performing property management and administrative support duties related to facilities and purchasing functions.
Responsibilities
- Establishes and maintains positive customer relationships.
- Gives undivided attention and listens carefully to obtain complete and accurate information.
- Responds promptly and reliably to requests.
- Enters timely and accurate work orders in tracking software and follows-up to ensure timely task completion.
- Informs staff of status of request and changes in vendor services and ordering procedures.
- Meets/exceeds customer expectations and goes above and beyond to create a positive experience with each interaction.
- Provides quality facility maintenance support.
- Takes proactive steps to assure safe, well maintained, welcoming and efficient facility operations through daily observation, analysis of building plans and submittals, anticipation of potential problems and monitoring and scheduling service delivery. Performs periodic facility maintenance inspections.
- Maintains building systems including access control, security cameras, lighting control, energy management, gates and high-speed doors. Issues keys and access control devices.
- Assures timely building Life Safety inspections including generator, carbon monoxide detection, elevators, fire systems, and security service and maintenance. Reports any deficiencies including resolution plan to department manager.
- Receives and responds timely to facility maintenance inquiries.
- Contacts designated facility staff and/or service vendor in a timely manner to address need(s).
- Follows-up with customer(s) to assure request is appropriately addressed.
- Maintains awareness of facility inventory and helps ensure appropriate allocation of resources.
- Performs other duties as assigned to ensure the smooth operations of Facilities & Purchasing team.
- Assures vendor quality and performance.
- Analyzes vendors from a cost, value and service standpoint.
- Makes recommendations; requests bid for additional services
- Provides pertinent and timely feedback to vendors; communicates with tact and involves supervisor when appropriate.
- Conducts vendor reviews; identifies best qualified vendors and participates in RFP process.
- Establishes account and credit terms and sets up vendor in computer systems. Requests insurance, confidentiality statements and communicates new vendor information with facilities team.
- Assures accurate expenditure coding.
- Verifies that goods were received, and services rendered at anticipated/contracted rate. Contacts vendor or customer when needed to obtain additional information.
- Codes invoices accurately and timely to ensure accurate expense allocation and prompt payment.
- Research significant discrepancies and provides relevant information to supervisor for discussion.
- Maintains and enhances professional skills.
- Adheres to high standards of personal and professional conduct.
Minimum Qualifications
•High school diploma or equivalent experience.
•Minimum two years administrative/clerical experience.
•Microsoft Office applications including Word, Excel and Outlook.
Preferred Qualifications
•Prior purchasing and/or property management experience preferred.
•Knowledge of OSHA, safety and HIPAA guidelines preferred.
