Position Overview
Join our dynamic brokerage team as a Brokerage Services Assistant, where you"ll play a vital role in supporting sales professionals across customer service, marketing, and transactional functions. This position offers an excellent opportunity to build a career in commercial real estate while gaining comprehensive exposure to brokerage operations, from front desk coordination to complex transaction management. Location: Indianapolis, Indiana
Schedule: Monday – Friday, 8:00 AM – 5:00 PM EST (Hybrid: 4 days in office, 1 day remote)
Reports to: Manager, Brokerage Operations & Support
Key Responsibilities
Customer Service Excellence
- Maintain consistent on-site coverage to ensure seamless support for the brokerage team
- Manage and update the brokerage pipeline in Dealius, maintaining regular communication with the team to ensure data accuracy
- Deliver exceptional customer service to brokers by promptly addressing inquiries, resolving issues, and ensuring client satisfaction
Marketing & Brand Management
- Create professional marketing materials including flyers, brochures, offering memorandums, opinions of value, and floor plans using Adobe Creative Cloud and Buildout
- Develop and execute email marketing campaigns while maintaining and updating contact databases across Buildout and other third-party systems
- Collaborate with marketing and brokerage teams to develop effective strategies for diverse property types (retail, office, industrial)
- Coordinate with marketing and research teams to optimize service delivery for internal and external clients
- Distribute property listings and marketing materials across company website and industry platforms (LoopNet, Crexi, etc.)
- Partner with Market Research team on demographic analysis and specialized mapping for listings
- Prepare compelling proposals, presentations, and communication materials
- Prepare site tour materials including flyers, floor plans, site matrices, and itineraries
- Support social media content creation for featured listings, major transactions, and company events
Transaction Management
- Compile listing agreements for new properties, ensuring full compliance with licensing requirements
- Generate comprehensive listing and deal activity reports (inventory, expirations, pipeline) and track critical dates through Dealius
- Execute the Closed Deal process according to established SOPs, including document abstraction and transaction detail confirmation
- Draft amendments and coordinate with sales professionals to obtain necessary signatures
- Manage document workflow through DocuSign for listing agreements, LOIs, lease agreements, amendments, and purchase agreements
- Monitor accounts receivable through Dealius reporting and coordinate with brokers on outstanding payments
- Update property and listing information across multiple databases and platforms
- Input comparable data from in-house transactions
Administrative & Office Operations (estimated 20% of time)
- Serve as front desk coordinator, managing guest reception and maintaining a professional office environment
- Coordinate shared space calendars and provide backup phone coverage
- Oversee office inventory management and supply ordering
- Execute daily office opening and closing procedures
- Maintain organized file management systems on company drive and Dealius
- Actively participate in team collaboration meetings, including bi-weekly department and sales meetings
- Support internal engagement activities and external partner events
Qualifications
Education & Experience
- High school diploma or equivalent required, associate"s or bachelor"s degree preferred
- 1 year of administrative, customer service, or office coordination experience in a corporate environment
Skills & Competencies
- Exceptional interpersonal skills with proven ability to build rapport and communicate effectively
- Strong attention to detail with demonstrated project management capabilities from inception to completion
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Adobe Creative Cloud experience preferred
- Ability to thrive in a fast-paced, collaborative environment
