How You Will Contribute
- Principal Support. Provide high-level administrative support to key principals within the organization. Build and maintain a deep understanding of priorities to allocate the principal's time effectively. Make judgements on time and recommendations grounded in strategic priorities to ensure smooth day-to-day engagements. Reconcile receipts and expense reports on behalf of the leaders and book and coordinate travel, itineraries, and logistics.
- Meeting preparation and participation. Assemble meeting agendas, record meeting minutes and notes, and coordinate calendars.
- General administrative support. Process invoice payments and ensure proper coding. Monitor and track ongoing projects, providing status updates and ensuring follow-through on key deliverables. Oversee contract management workflows, including tracking, routing for approvals, and maintaining organized records. Ad-hoc projects as assigned.
- Communications. Serve as a liaison between principals and internal/external stakeholders, ensuring timely and professional communication. Contact and follow up with external parties on invoices and contracts.
- Identify areas to increase efficiency and innovate to improve administrative processes. Collaborate with internal and external Executive Assistants to understand prioritization and make trade-offs. Identify and learn new tools and techniques to elevate the level of support and partnership the administrative team can give.
What You Will Bring
- 4+ years of professional experience in an administrative support-related capacity.
- Unparalleled attention to detail and a drive to take initiative, with the professionalism to interact with employees at all levels of the organization.
- Ability to think strategically about the principal’s time as an allocation of resources
- Demonstrated high level of confidentiality, sense of judgment, ability to improvise and creatively problem-solve while maintaining composure
- Articulate and concise oral and written communication skills
- Proficiency with Microsoft Office: Word, Excel, Outlook (including expertise with Outlook’s calendar function), and PowerPoint
- A clear understanding of and excitement for the mission of yes. every kid.
