Our Talent Acquisition Team plays a critical role in driving that growth, and we are looking
for our next key team member.
We are seeking a detail-oriented, career-minded Talent Acquisition Assistant to join our
Talent Acquisition Team. You will support two Senior Recruiters and the Senior Vice
President by managing administrative tasks, coordinating candidate pipelines, and
gradually learning the full life cycle of recruiting.
This role offers the opportunity to grow into a Talent Acquisition Specialist position over
time. Ideal candidates will have 1–2 years of hands-on experience in a recruiting or staffing
firm focused on the AEC (Architecture, Engineering, and Construction) industry.
Recruiting Support
- Assist with full-cycle recruitment: job postings, resume screening, interview coordination, and offer logistics.
- Maintain and update candidate records and activity in Lever (ATS).
- Post openings across various job boards including LinkedIn, ClearanceJobs, and niche AEC sites.
- Schedule and confirm interviews, debrief sessions, and coordinate candidate communications.
- Help manage recruitment marketing efforts and sourcing outreach.
- Join recruiters in kick-off calls with hiring managers to gain exposure to recruitment strategy.
- Build and maintain candidate pipelines, especially for recurring roles.
Administrative & Operational
- Track recruitment KPIs and help develop weekly and monthly reporting dashboards.
- Coordinate reference checks, background investigations, and onboarding logistics.
- Maintain data accuracy within recruiting tools and systems.
- Support the planning and logistics of career fairs and talent outreach events.
- Ensure candidate experience is positive, timely, and professional at every touchpoint.
- Stay current on industry and market trends that affect recruiting pipelines.
Qualifications
- Bachelor’s degree.
- 1–2 years of experience with a recruiting or staffing agency focused on AEC (Architecture, Engineering, and Construction).
- Proficiency using applicant tracking systems (Lever preferred).
- Working knowledge of LinkedIn Recruiter, Indeed, and other sourcing platforms.
- Excellent communication, interpersonal, and customer service skills.
- Strong organizational skills and attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle confidential information with maturity and discretion.
- Willingness to work in a fast-paced, team-oriented environment.
- Experience recruiting for government contractors or cleared positions.
- Familiarity with Boolean search techniques and recruitment metrics.
- Experience coordinating multiple requisitions and timelines.
