POSITION PURPOSE
This position reviews incoming orders for 50 outside sales representatives and customer service representatives. This position serves as a liaison for many departments throughout the organization, acting as support for the sales force, working closely with the warehouse to get orders shipped in a timely fashion, and working closely with accounting to prepare accurate customer invoices and credits when applicable.
ESSENTIAL FUNCTIONS
- Review customer orders put in by sales representatives, customer service representatives and orders placed through our e-commerce platforms
- Accurately prepare customer invoices based on shipping documents, review for accuracy, mailing and email appropriately
- Answer inquiries from sales representatives and internal customers via emails or phone calls as well as monitor night-time voicemails
- Print shipping documents for our warehouse staff, note documents appropriately
- Post outgoing mail each afternoon and sort incoming mail when assigned
SUPPORTIVE FUNCTIONS
In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the company.
- Support west coast sales representatives through required overtime
- Support Pioneer during peak seasons through required overtime
- Assist with customer inquiries regarding invoice credits, rebills and adjustments
- Assist with customer returns and carrier claims issues when needed
- Additional duties as assigned
PHYSICAL REQUIREMENTS:
Must be able to sit or stand for the full workday.

SPECIFIC JOB KNOWLEDGE, SKILL AND ABILITY
The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation.
- Knowledge of clerical procedures and systems such as word processing, keyboarding, managing files and records, and use of computer programs
- Possess working knowledge of copiers, shredders and mail machines
- Knowledge of principles and processes for providing customer services.This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction

EDUCATION
High school diploma or equivalent
EXPERIENCE
Six months of continuous office experience with a focus in general office duties within a professional environment preferred.
