About the role:
The Junior Buyer supports day-to-day purchasing and procurement activities for our mission‑critical controls and building automation subcontractor operations. This role assists in sourcing materials, equipment, parts, and services in a timely and cost‑effective manner while ensuring accuracy in purchasing records and systems. Working closely with the Procurement Manager, Senior Purchasing Agent, project managers, field teams, warehouse, engineering, and accounting, the Junior Purchasing Agent helps ensure materials are ordered correctly, delivered on time, and aligned with project requirements and budgets. This position is ideal for a detail‑oriented individual seeking to grow a career in construction procurement and supply chain operations.
Key Responsibilities:
- Assist in sourcing materials, parts, equipment, rentals, and services required for active construction and building automation projects.
- Prepare and issue purchase orders (POs based on approved requisitions, BOMs, and direction from senior procurement staff.
- Verify purchase requests against project requirements, approved budgets, master material lists, and schedules.
- Maintain and update open purchase orders in ERP/job tracking systems; track order status, confirmations, delivery dates, and receipts.
- Communicate with vendors regarding pricing confirmations, order acknowledgements, delivery schedules, shipping updates, and discrepancies.
- Support vendor research efforts by gathering pricing, availability, lead times, and specification details from approved and potential suppliers.
- Assist with resolving issues related to shipping errors, damaged goods, backorders, returns, and missing documentation.
- Coordinate with warehouse and field teams regarding material receipts, transfers, and delivery timing.
- Enter and maintain accurate purchasing and inventory data at the SKU level to ensure real-time visibility across systems.
- Provide documentation and support to Accounting for invoicing, payments, cost coding, and inventory reconciliation.
- Maintain organized electronic and physical records of POs, confirmations, receipts, vendor communications, and related documentation.
- Follow established procurement procedures and compliance standards while identifying opportunities to improve efficiency.
- Perform additional duties and special projects as assigned to support the procurement team and project execution.
Qualifications
- High school diploma or equivalent required; associate degree or coursework in supply chain management, Business, Construction Management, or a related field preferred.
- Strong attention to detail with the ability to accurately process and track multiple purchase orders simultaneously.
- Excellent written and verbal communication skills for vendor and internal coordination.
- Strong organizational and time‑management skills in a fast‑paced, project-driven environment.
- Proficiency in Microsoft Office, especially Excel (basic formulas, tracking spreadsheets).
- Willingness to learn ERP/job tracking systems (e.g., Sage 300, Viewpoint, Procore, Foundation, or similar).
- Ability to work collaboratively across departments while following direction from senior procurement staff.
- Professional demeanor with the ability to maintain confidentiality and exercise sound judgment.
Experience
- Minimum of 2 years of experience in purchasing, procurement, administrative support, or a related office role preferred.
- Exposure to construction, subcontracting, electrical, mechanical, building automation, or project-based environments is a plus but not required.
- Prior experience with purchase order processing, vendor communication, data entry, or inventory support is beneficial.
