Job Summary
The Lead Medical Assistant (MA) will supervise our back-office clinical team and provide direct patient care. This role requires strong leadership skills, hands-on MA experience, and strong primary care experience. Proficiency in Microsoft Office and bilingual communication in Spanish will enhance your ability to support diverse clientele. This position requires strong organizational skills and attention to detail, contributing to the smooth operation of our office and fostering positive relationships with patients and staff alike.
Responsibilities:
Supervisory & Leadership Responsibilities
- Oversee day-to-day activities of the Medical Assistant team, including scheduling, delegation of tasks, and monitoring workload for efficiency.
- Train, mentor, and evaluate Medical Assistants; provide ongoing coaching and support to ensure adherence to policies, procedures, and best practices.
- Act as the primary liaison between the MA team and the Clinical Office Manager, promptly reporting patient concerns, workflow challenges, or equipment issues.
- Model professionalism, teamwork, and patient-centered care; foster a positive and collaborative work environment.
- Assist with onboarding of new clinical staff as requested by the Clinical Office Manager.
Clinical & Administrative Duties
- Understand and perform office procedures after appropriate training; perform only those clinical procedures (e.g., injections) for which sign-off has been obtained.
- Assess patients' general condition and take vital signs, weight, and perform medication and dosage review.
- Document all activities and interventions, patient/family responses, medications dispensed/prescribed, and phone calls in the electronic medical record.
- Ensure follow-through on all patient needs that come through the clinical office and communicate with the Clinical Office Manager regarding any patient issues.
- Adhere to infection control/safety guidelines and confidentiality policies.
- Use a computer for patient charting, test ordering, secure patient communications, and appointment scheduling as needed.
- Pay attention to detail and keep work/office/common areas clean, orderly, and organized.
- Clean exam and procedure rooms between patients and at end of day, following established cleaning protocols and OSHA safety guidelines.
- Assist in re-stocking supplies in exam and procedure rooms and help monitor supply levels using inventory tracking and other systems.
- Package and sterilize surgical equipment; participate in maintenance and general upkeep of auto-clave sterilizers, endoscopes, procedure equipment, and other materials as necessary, following established protocols.
- Collect and process urine and blood samples for testing.
- Maintain composure during times of confusion and demonstrate pleasant, courteous behavior toward patients and coworkers.
- Ensure departmental HIPAA compliance; communicate with the Clinical Office Manager when necessary.
- Remain engaged and share ideas to improve patient care, work efficiency, and job satisfaction.
- Willing to be cross trained to another position when necessary and assist in training new personnel.
- Follow the Company Handbook and adhere to the Dress Code.
- Other duties as assigned by the Clinical Office Manager.
Minimum Job Requirements:
- Computer literate with working knowledge of medical practice management systems and electronic medical records.
- Basic knowledge of medical terminology.
- Minimum of 5 years Primary Care experience.
- Minimum of 1 year experience as a Medical Assistant (in a PCP/physician office preferred).
- Prior supervisory or lead experience required.
- Bilingual Spanish/English strongly preferred.
- ECW experience a plus.
Environmental/Working Conditions:
- Clinical environment, fast-paced with regular patient interactions and potentially stressful situations.
- Risk of exposure to communicable disease, including viruses, lab specimens, and air-borne pathogens.
- Activities include sitting, walking, stooping, lifting, bending, and reaching.
- Ability to lift up to 50 lbs. occasionally.
- Must be able to use a variety of office equipment including phone, writing instruments, PC, fax, and medical equipment such as stethoscope, Uro-flow machine, centrifuge, scales, and blood pressure cuff.
