About the role:
The Scheduling Coordinator is the primary point of contact for clients seeking cosmetic and aesthetic treatments. This role involves managing appointment schedules, providing exceptional customer service, and ensuring a seamless experience for patients from initial inquiry to post-treatment follow-up. The coordinator supports the practice’s operations by maintaining organized schedules, optimizing clinic efficiency, and fostering a welcoming environment for patients.
Work Schedule:
This is a full time position. The role is onsite with standard working hours of Tuesday-Saturday from 9AM-6PM. We believe in maintaining a healthy work-life balance while ensuring business needs are met.
Responsibilities:
- Serve as the first point of contact for patients and visitors, providing a professional, courteous, and welcoming environment consistent with the standards of the practice;
- Answer and manage incoming calls, emails, and other inquiries in a timely and professional manner, providing accurate information regarding services, appointments, and clinic policies;
- Check patients in and out, verify appointment details, and ensure all required forms, consents, and identification are completed and properly documented;
- Provide general information regarding the practice’s aesthetic services, payment options, and promotions, referring all clinical or medical questions to licensed providers as appropriate.
- Manage the appointment scheduling system to ensure optimal provider utilization and patient flow;
- Coordinate appointment confirmations, reminders, cancellations, and rescheduling in accordance with practice policies;
- Collaborate with clinical and administrative staff to maintain accurate daily schedules and ensure timely patient transitions;
- Assist with coordinating follow-up appointments and treatment plans as directed by medical providers.
- Support the preparation and maintenance of front office documentation, supplies, and correspondence;
- Assist in maintaining organized and professional front office and reception areas.
- Adhere to all applicable federal, state, and local regulations, as well as practice policies and procedures related to patient confidentiality, data security, and workplace safety;
- Maintain familiarity with infection control procedures and ensure the reception area meets cleanliness and safety standards;
- Promptly report any patient complaints, safety incidents, or operational concerns to the appropriate supervisor or compliance officer;
- Participate in staff meetings, training programs, and compliance education as required.
- Maintain a professional appearance and demeanor in accordance with the practice’s image and standards;
- Demonstrate effective communication, discretion, and confidentiality in all interactions with patients, staff, and external parties;
- Support teamwork and collaboration across departments to promote a high-quality patient experience; and
- Participate in continuing education and development opportunities as directed by management.
- Provide exceptional customer service to patients, attorneys, and referral sources, addressing inquiries promptly and professionally.
- Assist clinical staff in the back office during injection and procedure days, ensuring rooms are properly prepared and fully stocked.
- Set up procedure rooms according to physician preference and established clinical protocols.
- Operate and assist with the use of the C-arm machine during procedures, maintaining safety standards and supporting efficient workflow.
Qualifications:
·Previous experience in a medical or aesthetic practice preferred.
·Strong organizational and multitasking skills with attention to detail.
·Excellent communication and interpersonal skills to interact with clients and team members.
·Proficiency in scheduling and EMR software; familiarity with aesthetic services is a plus.
·Ability to maintain a professional and positive demeanor in a fast-paced environment.
Compensation:
The salary for this position ranges from $17-28/hr, depending on experience, with additional performance-based incentives and benefits.
