Job Summary
The Purchasing Coordinator will be responsible for purchasing all raw materials, supplies, equipment and services used by the company. The role involves inventory control as well as providing administrative support to the office and Sales Manager. They identify reliable suppliers, negotiate contracts and pricing, and ensure quality standards are met while controlling costs. The role involves monitoring inventory levels and maintaining strong vendor relationships to support business goals. Purchasing Coordinator also works with QA to ensure vendor approval compliance with food safety policies and regulatory requirements.
Essential Job Functions
- Negotiates with vendors regarding pricing, delivery schedules, payment terms for raw materials, ingredients, and packaging to ensure competitive pricing.
- Prepare and process requisitions and purchase orders for supplies and equipment.
- Evaluate and monitor contracts to ensure that vendors and suppliers comply with the terms and conditions of the contract and to determine need for changes.
- Implement bid/competitive sourcing procedures for applicable materials to identify alternate sources of supply and maintain competitive pricing for direct material requirements.
- Evaluate suppliers based on price, quality, delivery time and overall performance.
- Maintain and review records of items bought costs, deliveries, product performance, and inventories.
- Follow up orders and ensure that product is being received on time.
- Schedule deliveries by coordinating with warehouse department
- Coordinate the returns, credits or reimbursement of defective/damage product with vendor.
- Analyze the market to assess present and future material availability
- Analyze costs for materials and identify opportunities for savings without compromising quality.
- Meets with staff and vendors to discuss defective or unacceptable/damaged goods or services and determine corrective action including returns, credits and reimbursements.
- Maintains records and database of vendors, contracts, Certificates of Insurance.
- Works with the warehouse department and inventory control clerk in maintaining an accurate inventory.
- Reviews production schedule to ensure orders can be fulfilled
- Interacts with the Accounting department to follow up on Accounts Receivable issues.
Food Safety Responsibilities
- All employees are required to immediately report and assist in the elimination or control of any food safety issues they observe to their supervisor
- Monitors and enforces cGMPs and coordinates vendor compliance
- Follow all Good Manufacturing Practices and Pre-requisite programs
Qualifications
- College degree preferred; however, will consider an Associate degree or a combination of experience and some education.
- Computer literate; Microsoft suite
Required Experience
- Knowledge of Private label and co- manufacturing process
- Negotiation skills, ability to build and maintain relationships with supplier
- Leadership experience and ability to work collaboratively with cross-functional teams
- Knowledge of business and management principle
- Knowledge of local and federal regulations regarding food sourcing
Physical Requirements
- Ability to use office equipment including computers, telephones, scanners, copiers, etc.
- Rarely lift 10 - 20 LBs
- Sitting for prolonged periods
