This is a full-time in-office role, M-F from 8:00 am to 5:00 pm with a 1-hour lunch. Candidates living farther than 40 miles or 1 1/2 hours from the office will not be considered for the position.
Salary: $50,000 - $60,000
Job Description:
As a member of the HR and Recruitment team, the Onboarding Coordinator will support the recruitment and onboarding cycle—from managing initial screenings to providing essential support for our Recruiter. This role also includes ownership of device management and vital office administrative functions, and is key to maintaining compliance, preparing operations, and delivering a smooth employee journey from offer acceptance through onboarding and early training.
Duties and Responsibilities:
Recruiting:
- Onboarding Coordination: Facilitate the full pre-employment cycle, including delivering offer letters and coordinating background checks, drug screenings, and physical exams.
- Compliance & Intake: Execute the formal onboarding process by completing I-9 verification and E-Verify documentation within Rippling (the HRIS we use) for all new hires and re-hires
- Departmental Support: Provide comprehensive administrative assistance to the recruitment team to streamline hiring efforts.
- Candidate Screening: Eventually take ownership of initial applicant screenings and talent evaluations utilizing the Rippling ATS module.
- Cross-departmental Coordination: Serve as the point of contact for other departments during the hiring process and coordinate necessary pre-employment efforts based on position requirements, i.e., updating hiring managers upon completion of the hiring process, start dates, and any changes during onboarding.
Office Support:
- Data Stewardship: Coordinate the systematic collection and organization of departmental data to support accurate reporting and analysis.
- IT Asset Management: Oversee the end-to-end management of company-issued technology, including the provisioning, tracking, and retrieval of laptops, mobile phones, and iPads for all staff.
- General Administration: Execute additional administrative tasks and special projects as assigned to support evolving business requirements.
Minimum Employment Requirements:
- Clear a National, State, and Local Background Check.
- Candidates must pass a pre-employment drug screen & complete a post-offer pre-employment physical.
- Pass the 90-day introductory period.
Experience Requirements:
- Professional Experience: 1-2 years of proven experience supporting Recruitment and Onboarding efforts
- Language Proficiency: Must be fully Bilingual (English/Spanish) with the ability to communicate effectively in both languages.
- Technical Proficiency: Advanced knowledge of Google Workspace or Microsoft Office Suite is required.
- Systems Expertise: Must have 1-2 years of experience managing ATS platform(s) and/or HRIS systems processes, including initiating hiring procedures and screening applications.
Preferred Qualifications:
- Industry Knowledge: Prior experience within the Construction industry is strongly preferred
- Educational Background: An Associate’s or Bachelor’s Degree in Human Resources, Business Administration, or a related field is preferred.
- HRIS/ATS: Previous experience with Rippling is preferred
