Position Overview
The Office Assistant is responsible for front desk operations, client coordination, and administrative support. This position requires professionalism, discretion, strong organizational skills, and the ability to manage sensitive information in a fast paced healthcare environment. This role is essential to maintaining an organized, compliant, and welcoming environment for clients and staff. The ideal candidate has experience in a medical or behavioral health setting and a strong understanding of HIPAA and PHI requirements.
Key Responsibilities
Manage day to day front desk and administrative tasks
Greet clients in person and by phone in a professional and welcoming manner
Schedule appointments and coordinate clinician calendars
Verify insurance, process payments, and assist with billing related tasks
Manage intake paperwork, request authorizations, and track referrals
Maintain and update electronic health records (EHR) accurately and timely
Handle client information in compliance with HIPAA and PHI regulations
Scan, file, and organize records and incoming mail
Maintain a clean and organized lobby and office space
Support overall office operations to ensure efficiency and compliance
Qualifications
Previous experience in a medical office, behavioral health, or healthcare setting required
Strong working knowledge of HIPAA and PHI privacy standards
Experience using electronic health record (EHR) systems
Excellent organizational, communication, and multitasking skills
High attention to detail and accuracy
Strong customer service skills with a professional and compassionate approach
Ability to work independently and as part of a team
Reliable, proactive, and able to manage confidential information with discretion
