Position Overview
The School Data Manager ensures the accuracy, integrity, and accessibility of all student data, with a focus on attendance, discipline, MTSS processes, grading, assessments, and compliance with internal and state reporting requirements. This role supports school operations, instructional decision-making, and student success by managing data systems, monitoring trends, and providing actionable reports to school leadership, staff, and stakeholders. This position reports to the High School Principal and works closely with our Data Team.
Responsibilities
Specific responsibilities will include, but not be limited to:
Attendance & Enrollment:
- Ensure daily attendance and meeting attendance are accurately recorded in PowerSchool.
- Verify teachers submit attendance within 15 minutes of each class or as designated by School Leadership.
- Monitor In-Seat Attendance (ISA) and truancy against internal and external targets, reporting trends and alerting leadership when thresholds are exceeded.
- Submit the necessary documentation for truant students.
- Review and enter valid excuse notes/letters in PowerSchool daily.
- Utilize Brightarrow or other communications systems to notify families of attendance concerns.
- Manage student rosters in our case management system, Efforts to Outcomes, and support data entry within the system as needed
Discipline & MTSS Support:
- Upload discipline documentation into PowerSchool and ensure records are accurate and up to date.
- Support MTSS processes by analyzing data to inform instructional and behavioral strategies.
Data Management, Reporting & Compliance:
- Manage data entry, integrity, and reporting in all school systems, including PowerSchool, Brightarrow, and Efforts to Outcomes (ETO).
- Produce timely monthly reports on attendance, student progress, discipline, and academic performance.
- Support reporting for monthly AEM (Academic, Engagement, and Monitoring) data meetings.
- Support statewide and internal testing processes, including data collection, verification, and reporting.
- Provide basic systems training and support on ETO and PowerSchool for staff.
- As requested, attend key meetings with OSSE and other organizations related to data sharing, reporting, and accountability.
- Stay current on best practices, data sources, analysis techniques, and reporting standards.
- Ensure staff use student information systems effectively to collect grades, assessments, and all relevant student data.
Other Duties:
- Perform additional duties as assigned to support school operations and student success.
Qualifications
- A bachelor's degree in a related field is required, and/or Master's degree in a related field is preferred
- 2+ years of experience in quantitative data collection, analysis, interpretation, and reporting (PowerSchool preferred)
- Knowledge of student information systems or other enterprise data systems
- Demonstrated ability to effectively present information and respond to questions from administrators, staff, students, families, and other stakeholders
- Experience working with incarcerated or at-risk youth (preferred)
- Excellent written, verbal communication, and presentation skills with keen attention to detail
- Possess an unrelenting belief that all students can achieve and succeed
