Position Summary
We are seeking an Operations Lead to oversee the day-to-day operations of the Executive Health program, ensuring seamless delivery of preventative and ongoing care services. The Operations Lead will manage clinical and administrative functions, support staff development, and drive process improvements. This role requires a strong leader with a background in medical office administration, team management, and a commitment to delivering exceptional client care in a fast-paced, multidisciplinary clinical environment.
What you will be doing
- Oversee and support daily operations of the Executive Health Unit.
- Collaborate with the Medical Director to support clinical aspects of program development and implementation.
- Develop, implement, and maintain administrative processes, policies, and documentation for the program.
- Coordinate with physicians, allied health professionals, diagnostics, vendors, technicians, and administrative staff to ensure cohesive care delivery.
- Manage Executive Health staff, including training, scheduling, supervision, and performance development.
- Lead implementation and enhancement of the ongoing care program, ensuring continuous quality improvement and client satisfaction.
- Monitor program timelines and budgets to ensure objectives are met.
- Track and optimize the client journey to ensure a seamless and high-quality experience.
- Customize and manage clinic software, including OSCAR EMR, Ocean Portal, and other digital tools in collaboration with the Digital Health team.
- Identify operational issues and collaborate with the Clinic Manager on resolution strategies.
- Support the Clinic Manager on special initiatives and strategic projects.
- Maintain relationships with corporate partners and support business development efforts.
- Oversee supply purchasing, inventory management, and vendor relations specific to the Longevity Program.
- Manage billing, invoicing, and vendor online portals to ensure accuracy and efficiency.
- Drive continuous improvement in client experience and uphold a service-driven culture.
You have
- 3–5 years of experience in a leadership or management role within a healthcare or clinical environment.
- Strong background as a Medical Office Assistant (MOA) with deep understanding of clinical operations.
- Proven ability to manage a team in a multidisciplinary setting.
- Familiarity with OSCAR EMR and Ocean Portal (highly preferred).
- Excellent organizational, communication, and problem-solving skills.
- Ability to work both independently and collaboratively across departments.
- Demonstrated commitment to client-centered care and continuous improvement.
- Experience working in high-volume clinics or executive health/wellness programs is an asset.
