Scheduling Representative IIResponsible for scheduling, planning and making sure our High School Blood Drives run smoothly and effectively. Coordinates with all drive chairs at the High Schools, providing all materials needed. Ensures and keeps accurate data for our High School Red Cord Program for our schools that participate and send out proper communication and mailing red cords to each high school prior to graduation. Attends all High School and Hendrick Health Employee Blood Drives. Greet donors and sign in employees to keep track of our Donor Time Off recipients. Help with donor recruitment by using the phone call list to call eligible donors and encourage them to donate with us or find them a blood drive near their location. Help assist the Marketing Manager with all other miscellaneous tasks in the department.
- The Scheduling Representative is responsible for making appointments for patients following medical practice procedures. Tasks may be integrated into other positions such as receptionist, registration clerk, or medical assistant.
- Minimum Education
- High school diploma or general equivalency diploma (GED)
- Minimum Work Experience
- Minimum one year of experience in an appointment scheduling position
- Required Licenses/Certifications
- Required Skills, Knowledge, and Abilities
- Knowledge of medical practice protocols related to scheduling appointments
- Knowledge of manual/computerized scheduling systems
- Knowledge of customer service principles and techniques
- Skill in communicating effectively with physicians/clinicians about scheduling preferences
- Skill in maintaining master appointment schedule via manual or computerized means
- Skill in producing reports about appointment patterns as needed
- Ability to multitask effectively, dealing with phone calls, in-office patients, staff, and others pleasantly
- Ability to communicate calmly and clearly with patients about appointments in all circumstances including when they are ill or have an emergency
- Ability to analyze situations and respond appropriately
- Designated Driver
