TITLE: Executive Administrative Assistant to the Superintendent/
Secretary to the Board of Education

SUMMARY
Under basic supervision, performs routine office clerical and administrative support functions for staff and provides customer services for students and the general public. This goal of position is to relieve the Board of paper work and impedimenta and to execute expeditiously the instructions of the Board so that the Board may devote maximum attention to the central problems of education and policy determination. Also, to assist and relieve the Superintendent of paper work and impedimenta so that he may devote maximum attention to the central problems of education and educational administration.

Effectively communicates while providing customer service, information, and assistance to students and visitors; greets visitors and answers phone calls; duties may vary according to job assignment.

Welcomes visitors and arranges for their comfort, and screens unexpected callers in accordance with pre-determined policy.

Provides a variety of clerical and office assistant duties; makes and distributes copies; processes mail, documents, correspondence, invoices, and other materials; schedules meetings and rooms. This includes typing letters, memos, reports, notices, etc. for the superintendent as well as maintaining his/her calendar.

Updates and maintains a variety of electronic and paper files, records, reports and documents; receives records and requests, verifies information, and enters data into computer systems.

Cross-trains in a variety of MPS functions, and assists staff as directed.

Supports the relationship between the Bennett School District and the general public by demonstrating courteous and cooperative behavior when interacting with clients, visitors, and District staff; maintains absolute confidentiality of work-related issues, client records, and District information; follows compliance rules governing child abuse; performs related duties as required or assigned.

Publishes all legal notices concerning district business including but not limited to working with the superintendent on District Accountability Committee meeting notices and reports, receiving and delivering interoffice written communications, and keeping the superintendent informed of pertinent division developments and events; and seeks his/her counsel or decision as necessary

Performs such other tasks as may from time to time be assigned by the superintendent.

Acts as secretary to the Board of Education

Gives public notice and attends all meetings of the Board

Keeps full and accurate minutes of all meetings of the Board and sends a copy of such minutes to each member of the Board at least one week prior to the next regular meeting of the Board.

Assists in the preparation of agendas setting forth all known items of business to be considered at Board meetings and delivers agendas to Board members at least one week prior to meetings.

Keeps Board policies up-to-date and types all curriculums on computer.

Performs such other tasks for the Board as may from time to time be assigned.
MINIMUM QUALIFICATIONS
Education, Training and Experience Guidelines
High School Diploma or GED equivalent; AND one year of clerical and computer experience; OR an equivalent combination of education, training and experience.
Knowledge of:

BSD policies and procedures.

Principles of record keeping and records management.

General computer and specialized software applications.
Skill in:
-
Entering data into a computer system with speed and accuracy.

Following detailed instructions required for maintenance of accurate technical records.

Establishing and maintaining cooperative working relationships with co-workers.

Communicating effectively verbally and in writing.
LICENSE AND CERTIFICATION REQUIREMENTS
A valid Colorado State Driver’s License may be required.
PHYSICAL DEMANDS AND WORKING ENVIRONMENT
Work is performed in a standard office environment.
SALARY: $21.25/hr. (Initial placement depends upon experience)
