We are seeking a dedicated Front Desk Care Manager to join our team in Delray Beach, FL. This role is crucial in ensuring smooth operations at the front desk while providing exceptional service to our patients. As a key player in our practice, you will contribute to our mission of delivering high-quality healthcare.
Responsibilities
Team Leadership & Administration
- Manage the Administrative (Front Desk) team, including reviewing and approving PTO requests.
- Oversee all administrative operations to ensure efficient front desk workflows.
- Provide coverage for the team when needed.
- Train and onboard new hires for the admin team.
- Conduct performance reviews (90-day and annual) for the admin team.
- Create and track monthly admin team incentives.
- Schedule quarterly meetings with the admin team.
Operational Oversight & Reporting
- Analyze practice performance by running monthly and mid-month practice numbers, cancellation reports, and MIP's reports (patient portal enrollment, improvement activity).
- Monitor provider schedules daily to ensure accuracy and efficiency.
- Create and update provider schedule templates.
- Propose and set monthly provider goals in collaboration with leadership.
- Track no-shows, walkouts, and short-notice cancellations to ensure appropriate patient follow-up.
- Develop and manage the admin team schedule for proper front desk coverage.
- Manage the provider on-call schedule.
Process & Compliance Management
- Resolve conflicts between patients and staff professionally and effectively.
- Update and maintain all administrative forms, manuals, and team resources.
- Maintain accurate patient and provider information in the EMR system.
- Create, update, and manage document types and categories in the EMR system.
- Oversee Luma, Gold Coast, and Broadvoice system operations.
Competencies
- Minimum of 3 years in healthcare administration, including at least 1 year in a supervisory role.
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent organizational, analytical, and multitasking abilities.
- Strong interpersonal and communication skills with the ability to lead and motivate a team.
- High attention to detail and strong problem-solving capabilities.
- Professional demeanor with the ability to handle confidential and sensitive information appropriately.
- Positive attitude and professional appearance.
Education & Experience
- Proven experience in a similar healthcare administrative leadership role required.
Tools & Equipment Used
- Proficiency with EMR systems and related healthcare technology platforms.
- Solid computer competencies in daily operations.
Qualifications
- Management experience: 1 year (Required)
- Medical office experience: 3 years (Required)
- Customer service experience: 3 years (Preferred)
- Computer skills: 3 years (Required)
Physical Requirements
- Ability to lift up to 15 lbs.
- Ability to sit at a desk for 6–8 hours daily.

- On-site/in-person role.
