We are looking for a motivated and meticulous Accounts Payable/Compliance Specialist team member to join our in-office team full-time. This role also oversees certain Accounts Payable functions as well as business regulatory requirements, registrations, and licensing. This role is ideal for someone who enjoys wearing multiple hats—supporting both general office operations and basic finance functions.
Key Responsibilities
Accounts Payable Support
- Process and verify invoices for accuracy, approvals, and proper coding.
- Ensure timely and accurate payment to vendors via check, ACH, or wire transfer.
- Reconcile vendor statements and resolve discrepancies promptly.
- Maintain accurate AP records and documentation in compliance with company policy and audit requirements.
- Assist with month-end closing tasks related to payables, such as accruals and reporting.
Compliance Duties
- Manage and oversee third party registered agent services
- Manage and oversee third party business license, registration, and compliance services.
- Monitor adherence to internal and external registrations policies.
- Maintain compliance records and documentation for regulatory reviews.
- Review vendor contracts and W-9 forms to ensure proper tax treatment and documentation.
- Assist with preparation of 1099 forms and other tax filings.
- Support internal and external audit processes by providing necessary documentation and explanations.
- Identify and escalate compliance risks or irregularities.
Qualifications
- Associate or bachelor’s degree in accounting, Finance, or related field (or equivalent experience).
- 1+ year of administrative or clerical experience preferred (accounts payable or bookkeeping experience is a bonus)
- Strong understanding of accounting principles and regulatory requirements.
- Comfortable using accounting software and Microsoft Office Suite (particularly Excel).
- Experience with accounting software (e.g., QuickBooks, NetSuite, SAP).
- Strong organizational skills and attention to detail.
- Ability to work independently and manage confidential information responsibly.
- Reliable and punctual with a positive, can-do attitude.
- Excellent communication and people skills for effective vendor interactions.
