Position Purpose
Join our dynamic team as a Workplace Services Coordinator — a vital role dedicated to ensuring our office operations run seamlessly and effectively support our business goals. In this position, you"ll work closely with the Regional Manager to manage daily tasks such as overseeing inventory, coordinating repairs, and streamlining office services, all while creating a welcoming and efficient environment for our teams. Essential Job Functions & Responsibilities
- Provide essential administrative support—filing, organizing supplies, receiving deliveries, and ensuring smooth daily operations.
- Implement and follow office workflow procedures to optimize efficiency and productivity.
- Maintain accurate files and records using effective and organized filing systems.
- Collaborate with various teams across the organization, supporting administrative needs with enthusiasm and professionalism.
- Monitor and report on office expenses, ensuring budget adherence and cost control.
- Oversee office supplies inventory—review, approve, and replenish stock to keep operations running smoothly.
- Cultivate and maintain strong vendor relationships to secure quality products and services.
- Assist leadership in coordinating services across regional sites, ensuring consistency and excellence.
- Source products from multiple vendors, perform cost analysis, and recommend the best options for the organization.
- Keep a close eye on office expenses and usage at each site, providing insights and recommendations.
- Develop a thorough understanding of daily operations within assigned offices to anticipate needs and proactively address them.
- Support onboarding initiatives—assist with seat assignments, security access, and orientation for new team members across the enterprise.
- Contribute to health and safety initiatives, including inspections and emergency drills, to ensure a safe working environment.
Minimum Education and Experience Requirements (Essential Skills, Knowledge & Abilities)
- High school diploma or equivalent required; an Associate's degree in office administration, management, or a related field is preferred.
- 2+ years of experience in office administration, hospitality management, or a related role.
- Proven ability to multitask, work independently, and take initiative.
- Demonstrates executive-level professionalism and presence.
- Outstanding customer service skills with the ability to engage effectively across diverse social and cultural backgrounds.
- Strong time management and organizational skills to handle multiple priorities efficiently.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience operating office machinery such as printers, scanners, and mail openers.
- Highly organized, detail-oriented, and proactive in managing responsibilities.
- Willingness and ability to travel as needed to support regional offices.
