The Imaging Services Unit Secretary is one who provides direct and in-direct patient care along with administrative support to the department staff and hospital providers on the unit. Acts as a communication liaison with all other departments within the hospital setting. Interacts professionally with physicians, technologists, nurses, patients/family, and others.
- Responsible for all office/administrative duties for the Imaging Services team.
- Provides clerical support in the form of typing letters, policies, protocols, daily report reconciliation, scanning information into patient’s charts, pushing/faxing exams and reports to other facilities, order entry, sending mammography result letters to patients, contacting outreach sites for their patient information and upcoming schedules. Give verbal reports to doctors, nurses, and other medical facilities. Delivery of mail daily to and from department.
- Competently utilizes department computer systems to include EMR, RIS, and PACS; retrieves images in PACS for physician viewing and for printing CD's or film for outside physicians; retrieves, views and updates patient information in RIS as required.
- Treats patients and their families with respect and dignity, assists with transportation of patients/families to and from waiting/in-patient rooms. Helps lift or assist patients on or off exam tables.
- Performs their duties in an environment that optimizes patient safety and reduces the likelihood of medical/health care errors. Efficiently assists nurses and technologists in cleaning and turning over patient care rooms.
- Notifies Engineering and Bio-med Departments of any equipment not in proper working order; completes necessary paperwork and work orders.
- Computes and reports statistics as requested.
- Notifies manager, charge nurse, physician, and anesthesia provider of any changes in procedure line-up. If schedule is already distributed, notifies all departments involved.
- Confirms daily on-call schedule; reports changes to manager, charge nurse, and communication specialist.
- Communicates information about the surgical progress to the patient’s family/significant other in the waiting room, as directed. Takes and records messages and communicates to appropriate medical staff.
- Answers telephone in a prompt polite manner and communicates information to appropriate personnel, using phone, email, or face to face communication.
- Establishes and maintains effective communication and good working relationships with co-workers for the patient’s benefit.
- Utilizes initiative; strives to maintain steady level of productivity; self-motivated. Organization and management of secretary’s activities are prioritized based upon the needs of the department and staff.
- Makes decisions reflecting knowledge of facts and good judgment within the unit secretary’s scope of practice.
- Completes other duties, as assigned by the department manager, nurses, and technologists.
Regulatory Requirements:
- High School graduate or equivalent required
- CNA required within 6 months of hire
- Current BLS for Healthcare Providers certification required within 6 months of start date.
- Knowledge of medical terminology.
