SCOPE OF POSITION:
Provides professional high level administrative support to the Department of Academic Affairs. Responsible for coordinating the undergraduate medical student and physician assistant student programs, as well as all types of student shadowing and observerships. Acts as liaison between Director of Academic Affairs site directors, preceptors, medical students, physician assistant students, and various clinical departments.
This position utilizes professional communication and interpersonal skills to establish and maintain cooperative relationships with physicians, students, residents, allied health professionals, and hospital staff. Provides cross-coverage for other staff within the department.
RESPONSIBILITIES:
Administrative Assistant ESSENTIAL DUTIES and RESPONSIBILITIES:
Screens, refers, and intercedes as appropriate, incoming calls/visitors to the department to facilitate accurate and efficient departmental communication
Schedules appointments, meetings and interviews
Orders office supplies
Assists in gathering content for departmental website and marketing materials
Assist in preparing documents for accreditation surveys
Type correspondence, letters, minutes, policies and procedures, newsletters, etc.
Assist in preparing/collecting documents for student/resident onboarding and orientation
Provide support to coordinators when planning department events and/or meeting set ups
Collect and track evaluations
Attend meetings, prepare agendas, provide minutes and maintain didactic materials in a professional and timely manner
Generate and track all supporting documents needed for agreements; draft agreements as needed
Performs other duties, as assigned to promote the efficient functioning of Academic Affairs

Develop, coordinate and run annually:
Student Orientation as needed
Coordinate and attend quarterly site director meetings, prepare agenda, draft meeting minute and provide follow-up in a professional and timely manner
Facilitate communication between students, hospital departments and medical staff.
Draft and maintain necessary policies, procedures and documents to meet university and hospital standards
Attend student programs and provide assistance to Academic Affairs program director
Provide cross coverage functions for other department coordinators.
Provide and help maintain student information on medical education website
Serve as the Undergraduate Medical education Program representative
Perform other duties as assigned by the Administrative Director of Academic Affairs
REQUIREMENTS;
- Associate’s Degree Required
- Bachelor’s Degree preferred in Business Management, Communications, Education or related field.
- Minimum of 2-5 years experience in coordinating a student training program, or a program requiring similar skills, preferred.
- Knowledge of accreditation standards pertinent to the student programs.
- Ability to function well independently and within a team.
- Intermediate knowledge and experience of set-up and troubleshooting of audiovisual and teleconferencing equipment.
- Intermediate skills in negotiating student agreements, preferred.
- Self-directed and self-motivational skills with strong attention to detail.
- Ability to manage multiple priorities and to manage projects from initiation to completion within prescribed schedules and utilization of resources.
- Excellent verbal/written communication and organizational skills.
- Mature attitude and judgment; responsible; professional demeanor and appearance, patient and flexible.
- Advanced knowledge of Microsoft Office suite applications to include Word, PowerPoint, Excel, Outlook and willingness to learn new programs.
- Flexible schedule required to attend events/meetings in the early morning or in the evening, as well as travel to school campuses for multiple day events.
