Sr. Surgical Materials Coordinator

SCOPE OF POSITION: This position is accountable for coordinating the daily flow of supplies, implants and equipment for the Surgery Department. Position ensures that procurement requests accurately reflect clinical and cost requirements and the timing of receipt for those requests meet customer and financial expectations. The Coordinator is responsible for supply replenishment and procurement of owned, consigned and same day requested inventory. They are also responsible for routine inventory management to ensure accurate financials and product integrity. This position requires a high degree of critical thinking to ensure the right supplies and services are available to support the clinical operations of the surgical department and ensure the best patient care by reacting to planned and unplanned requests for patient treatment. Coordinate with staff to make sure surgery requisitions are submitted timely and accurately to ensure fulfillment and delivery of product. Check orders for completeness and make recommendations based on previous orders. Fulfill surgery requests accurately and within time constraints. Inspects EMR of documented items. May also require coordination with vendors shipping companies. Collaborate with departments across functions: Purchasing, warehouse, and shipping receiving to fulfill orders. Maintain status of inventory at all times with ability to provide updates.
RESPONSIBILITIES:
- Meets regularly with all par level departments to maintain accurate par levels and usage reports.
- Inventories par levels stations each morning, creates pick lists for storeroom personnel.
- Investigates and resolves Purchasing/Storeroom discrepancies.
- Maintains and monitors product recalls.
- Monitors schedules of future cases and assures availability of necessary products.
- Interacts with staff and physicians for ordering supplies and equipment and borrowing from other facilities.
- Monitors documentation for accurate data on operative records and items used including obtaining new item numbers.
- Records appropriate documentation for implants, loaned and borrowed supplies.
- Maintains master files of inventory.
- Reviews patient charge data to cross-check documentation of used supplies.
- Performs all other duties as assigned.
REQUIREMENTS:
- Familiarity with Health Care Purchasing and inventory standards/procedures.
- Ability to communicate and interact effectively with clinical and non-clinical areas.
- Excellent customer service/relationship skills.
- Typing and computer experience with MMIS programs.
- High School Diploma or GED.
- Two years experience in health care environment, one-year experience in purchasing or materials management.
- Must have basic computer skills and ability to access internet and other programs applicable to Waterbury Hospital procedures.
- Perform automated functions that fall within job responsibility.
