Overview
The Brokerage Services Coordinator provides a variety of support related to the customer service, marketing, and transactional requirements of the sales professionals and the Company. This position requires the ability to manage multiple projects and deadlines. The ideal candidate will possess strong interpersonal and communication skills, be highly flexible, and thrive in a fast-paced ever-changing environment. This position reports to Manager, Brokerage Operations & Support.
Location: Indianapolis, IN
Work Schedule: Monday - Friday, 8a - 5p ET.
Essential Functions and Responsibilities
Customer Service Responsibilities
- Maintains the on-site work schedule to ensure support is available for the brokerage team
- Maintains brokerage pipeline, consistently communicates and reviews pipeline opportunities with brokerage team
- Delivers outstanding customer service to brokers, promptly addressing inquiries, resolving issues, and ensuring client satisfaction
Marketing Responsibilities
- Creates brokerage-related marketing materials (flyers, brochures, offering memorandums, opinions of value, floor plans, etc.) using Adobe Creative Cloud
- Creates customized email marketing campaigns to curated contact lists in Buildout
- Manages and process updates to curated contact lists in Buildout and other third-party systems
- Collaborates with the marketing and brokerage team by developing effective marketing strategies for various listing and property types (retail, office, industrial, etc.)
- Interfaces and collaborates with the marketing and research team to ensure the best possible services are provided to internal and external clients
- Distributes and advertises properties and corresponding marketing materials to the company website and other systems (LoopNet, Crexi, etc.)
- Partners with the Market Research team by researching demographic information for listings and creating specialized maps for listings
- Responsible for preparing proposals, presentations, and communication material
- Assists in arranging site tours by creating and arranging materials (flyers, floor plans, site matrix, itinerary etc.)
- Assists in identifying, creating, and publishing social media content for featured listings, large scale lease and sale transactions, and company-related events
Transactional Responsibilities
- Compiles listing agreements new listings, ensuring compliance with license laws
- Compiles listing and deal activity reports (inventory, expirations, pipeline, etc.) and tracks critical dates through Dealius
- Completes the Closed Deal process in Dealius according to the brokerage support SOP, which includes abstracting lease or sale documents and confirming transaction details with the broker
- Drafts amendments and follows up with sales professionals to obtain signatures to keep listings current
- Assists in obtaining appropriate signatures/approvals by processing agreements through DocuSign, including listing agreements, LOI's, lease agreements, amendments, purchase agreements, etc.
- Pulls accounts receivable reports, tracks, and reviews accounts receivable through Dealius, and communicates outstanding payments with the broker
Administrative Responsibilities
- Maintains file management on the company drive and Dealius system
- Participates and engages in team collaboration meetings, including bi-weekly department and sales meetings
- Inputs updated property/listing information into databases and ensures all listings are up to date on all platforms
- Inputs comparable data from in-house transactions
- Assists with internal engagement activities and hosts events for external partners
Qualifications/Requirements
- Previous experience in an internal customer service or support role within a corporate environment, real estate industry experience strongly preferred
- Excellent interpersonal skills with the ability to build rapport and communicate effectively
- Detail-oriented with the ability to manage projects from inception through execution
- Excellent communication skills, both verbal and written
- Proficient with Microsoft Office (Word, Excel, Outlook)
- Experience in Adobe Creative Cloud, In-Design preferred
