Job Summary:
The Pharmacy Office Assistant is responsible for various office tasks, such as receiving, processing, reporting, and delivering invoices, managing regulatory files, and serving as the customer service specialist for the pharmacy. The Office Assistant collaborates with the Director of Pharmacy, coordinators, and staff members. This person demonstrates knowledge and skills to appropriately communicate and interact with the patients, families, and visitors of all age groups while being sensitive to their cultural and religious beliefs.
Performance Expectations:
Items considered essential functions of the job are listed below.
- Processes invoices in a timely manner.
- Checks supplies regularly and ensures that needed items are in stock and ordered in a timely manner from the various vendors.
- Maintain Purchase Orders.
- Assists with MIIX program, paperwork and documentation.
- Schedules quarterly, bi-yearly inspections and communicates with the appropriate vendor.
- Serves as a liaison with pharmaceutical vendors.
- Maintains regulatory files needed such as temperature logs and clean room certification.
- Attends and takes roll and minutes for P&T Committee.
- Updates forms and maintains those as needed.
- Issuing Bulk charges in EPIC for patients for meds filled through PioneerRX.
- Demonstrates ability to effectively communicate with patients, physicians, and co-workers in a manner consistent with a customer service focus and application of positive language principles.
- Provides for exceptional patient and coworker experiences by following our standards of practice of always using positive language.
- Demonstrates independence and exercises sound judgment in interactions with patients, coworkers.
- Promotes a positive work environment within the Pharmacy.
- Demonstrates technical aptitude for performing secretarial, general office duties in the Pharmacy.
- Demonstrates the aptitude for screening telephone calls for the Director and Coordinators.
- Demonstrates technical aptitude for operating telephone, fax, scanner, calculator, label printer and computer.
- Demonstrates the ability to communicate and interact with visitors, vendors, employees, physicians and management effectively.
- Communicates effectively with others in an appropriate and timely manner and adheres to and promotes the established values of the organization, i.e. customer service, safety, infection control and compliance standards.
- Efficiently, uses programs such as Lawson, Docuphase, Excel, PowerPoint, Word, Outlook and other as deemed necessary.
- Interacts professionally with various levels of hospital staff, managers, and physicians.
- Demonstrates effectiveness working as part of a team.
- Able to carry out a variety of duties for departments under the supervision of the Director of Pharmacy.
- Proactively seeks opportunities to enhance knowledge and learning towards expertise.
- Maintains all Health Stream assignments prior to the deadline.
- Provides feedback to Director of Pharmacy regarding patient care and opportunities for improvement.
- Works assigned shift and responds when called upon for additional or emergency services.

Qualifications:
Education/Skills
- High school diploma or equivalent preferred.
- Minimal of 1 year of previous experience preferred.
Work Experience:
- Experience with computers/technology is required.
- Organization ability and strong communication skills are required.
Mental Demands:
Exceptional oral and written skills are required to relate effectively to Hospital and medical staff. The individual
must have the ability to type and be familiar with the rules of spelling, grammar, and punctuation. The individual
must have the ability to use a computer display station, copier, telephone, personal computer, and calculator.
Working knowledge of medical terminology is necessary. The individual must have a high energy level and be
capable of handling pressure situations both mentally and physically.
