Position Summary
We are seeking a highly organized, discreet, and proactive Administrative Assistant to provide executive-level support to the Chief Program Officer and Chief Operating Officer. In this pivotal role, you will help manage key initiatives, facilitate cross-departmental collaboration, and ensure operational excellence behind the scenes.This is a high-visibility, hands-on position ideal for someone who thrives in fast-moving environments, demonstrates sound judgment, and brings a solutions-oriented mindset to everything they do. You'll play a critical part in driving the Foundation's strategic goals forward while supporting two of its most senior leaders.
Key Responsibilities
• Manage complex and evolving calendars for the CPO/COO, including scheduling meetings, coordinating logistics, and supporting travel planning
• Prepare briefing materials, meeting agendas, reports, and presentation decks in advance of internal and external engagements
• Take and distribute detailed meeting notes, monitor follow-up tasks, and ensure accountability for action items
• Draft and proofread correspondence, memos, and executive communications that reflect APF's tone, values, and professionalism
• Serve as a liaison between the CPO/COO and staff, board members, partners, and stakeholders, ensuring clear and timely communication
• Maintain secure filing systems for sensitive documents including contracts, grants, and operational records
• Assist with grant reporting and data compilation to support program impact tracking and funder deliverables
• Provide administrative support for board meetings, strategic planning sessions, and organization-wide evaluations
• Lead small to mid-scale projects from planning to execution, ensuring timely progress and thorough documentation
Required Qualifications
• At least 3 years of experience providing administrative or executive support, ideally to senior leadership
• Outstanding written and verbal communication skills with a sharp eye for detail
• Highly organized with strong time management and prioritization skills
• Proficient in Google Workspace, Microsoft Office, and project tools like Asana, Trello, orMonday.com
• Comfortable managing confidential information with discretion and integrity
• Self-starter with the ability to collaborate across departments and anticipate leadership needs in a dynamic environmentPreferred Skills
• Experience supporting C-level executives in a nonprofit or mission-driven setting
• Familiarity with grants administration, nonprofit program operations, or compliance tracking
• Comfort using file systems, board portals, or donor platforms (e.g., Salesforce, Network for Good)
• Bilingual in Spanish, Khmer, or another language relevant to APF's communitiesCompensation & Benefits
