The APHealth Administrative Assistant plays a vital role in keeping our community-based health initiatives running smoothly. You'll provide direct administrative and coordination support to the APHealth team—including ECM Case Managers, Health Program Specialists, and the Program Director—ensuring day-to-day operations are efficient, organized, and aligned with the April Parker Foundation's commitment to health equity and holistic care.This is more than a back-office role: your attention to detail, ability to manage sensitive information, and proactive communication will help drive systems that connect vulnerable clients to life-changing services. You'll be a key team member helping advance public health work that centers dignity, accountability, and community trust.
Key Responsibilities
•Support the APHealth team and Program Director with administrative tasks, scheduling, and internal coordination
•Organize and maintain digital client records, including intake forms, consent documents, and assessments
•Track documentation deadlines, staff productivity, and program milestones to keep the team on target
•Schedule internal meetings and external partner sessions, prepare agendas, and record meeting minutes
•Assist in preparing monthly reports, funding documentation, and caseload summaries for internal and external use
•Manage inventory of medical and office supplies, PPE, and printed materials
•Field incoming calls and emails from clients, providers, and community partners, directing inquiries as needed
• Input and update data using systems like Unite Us, Salesforce, Apricot, or EHR toolsRequired Qualifications
•Minimum 2 years of administrative or program support experience in healthcare, public health, or nonprofit settings
•Proficiency in Google Workspace, Microsoft Office, and data entry or case management systems
•Excellent organizational skills and a high degree of accuracy in handling sensitive information
•Strong written and verbal communication abilities; comfortable interfacing with diverse staff and community members
•Ability to manage multiple tasks in a fast-paced, mission-driven environment
•Consistent follow-through and strong documentation practicesPreferred Skills
•Experience supporting case managers, nurses, or public health teams
•Familiarity with Medi-Cal, CalAIM, ECM, or Community Supports
•Knowledge of case management platforms like Unite Us, Apricot, or EHR systems
•Bilingual in Spanish, Khmer, or other languages relevant to the communityCompensation & Benefits
