SUMMARY: Provides specialized project coordination, logistics, and general administrative support to the System Admission Transfer Center.
DUTIES & ESSENTIAL JOB FUNCTIONS: NOTE: Following are the duties performed by employees in this classification. However, employees may perform other related duties at an equivalent level. Not all duties listed are necessarily performed by each individual in the classification.
1. Full life-cycle project management specialized support, such as project meeting planning (i.e. scheduling and logistics), meeting facilitation, meeting minutes, maintaining project documents and artifacts in a document repository (like SharePoint), following up on project deliverables, assisting in the production of project status reports, other project related activities as directed by the Director, SATC; acts as direct support for project team activities.
2. Relieves Director, SATC of certain administrative details by performing administrative support tasks such as researching operating problems; contacts outside vendors as needed.
3. Provides operational and procedural support to the System Director, SATC and/or SATC team by coordinating and assisting with day-to-day department operations.
4. Serves as liaison with post-acute partners in following patients post-acceptance.
5. Provides administrative and placement support/linkages to community resources.
6. Maintains and updates internal documentation, including miscellaneous forms, memoranda or other critical communications etc.; maintains filing/retention systems.
7. Performs payroll related functions, including timekeeping and miscellaneous reporting.
8. Performs data entry, including department performance data, budget information and miscellaneous reports.
9. Performs standard front-office duties, including distributing mail and inter-office correspondence, answering phones and greeting and directing visitors.
10. Performs general office housekeeping tasks, including monitoring/updating office supply inventory and maintenance/repair of office equipment.
11. Performs other duties as assigned.
MINIMUM QUALIFICATIONS
Any combination of education and experience that would likely provide the required knowledge, skills and abilities as well as possession of any required licenses or certifications is qualifying.
Required Education: High School diploma or equivalent.
Preferred Education: Associate’s degree.
Required Experience: Three years administrative experience.
Preferred Experience: Experience within a dispatching or healthcare environment; experience in coordinating or managing aspects of small, mid or large work efforts/complex projects.
