The Office Manager II is responsible for daily administration of business office activity for more than five (5) providers and more than one (1) physical location. This position involves knowledge of all computer software, which may be utilized in daily operations. The Office Manager II may be called upon to perform charge entry, registration, scheduling, patient dismissal, and collection of necessary statistics, as well as staff training and supervision of the above functions. The Office Manager II should be prepared to assist in the collection of data, analysis, and implementation of performance improvement plans. The Office Manager II should also be prepared to work on special assignments as requested by the Executive Director. Office Manager II performs within the limits of the hospital's/department's Ethics and Corporate Compliance Program and is responsible for detecting, observing and reporting compliance variances to his/her supervisor, or upward, through the chain of command, the Compliance Officer or hospital hotline.

Patient Registration & Scheduling
- Supervises patient registration, scheduling, and charge entry.
- Ensures daily balancing procedures are completed.
- Ensures charges are entered within two business days.

- Maintains proficiency in billing and registration systems.
- Trains new staff and supports system upgrades.

Budget & Resource Planning
- Assists with staffing, equipment, and budget planning.
- Reviews expenses for accuracy and cost-effectiveness.

Patient Service
- Handles patient interactions and complaints professionally.
- Returns calls within 24 hours and escalates unresolved issues.

Financial Management
- Participates in budget development and monitoring.
- Oversees expenditures, staffing, and overtime.
- Assists patients with billing questions and outstanding balances.

Credentialing & Billing
- Coordinates physician credentialing activities.
- Works with Central Billing Office to resolve billing issues.
- Ensures compliance with collection policies and procedures.

Human Resources
- Conducts annual performance evaluations.
- Provides coaching, counseling, and disciplinary actions as needed.

- Maintains knowledge of regulatory requirements.
- Ensures compliance with ethics and corporate policies.

Education & Health Requirements
- Monitors completion of mandatory education and health assessments.
- Maintains required training records and health documentation.
EDUCATION AND EXPERIENCE REQUIREMENTS:
- Requires an associates degree; prefer bachelor’s degree or the equivalent in directly related work experience and a minimum of three (3) years experience as a medical office manager.
- Must have a thorough working knowledge of medical office computer systems; the ability to formulate, initiate and supervise sound business and clinical policies and procedures; excellent financial management skills, focusing on cost containment, reimbursement and collection practices; the ability to prepare monthly financial and clinical reports as requested.
- This position requires excellent communication skills and an ability to interact with a variety of people, including hospital administration, staff and physicians. This position requires a customer service-oriented attitude and behavior.
PHYSICAL REQUIREMENTS:
The position is located indoors under normal working conditions with travel required between offices. Should be able to push/pull 25 lb., lift/move 15 lb. from floor to table, be able to perform moderately difficult manual manipulations such as using a keyboard, writing and filing for extended periods of time, must be able to perform tasks which require hand-eye coordination such as data entry, typing and using photocopiers. Mobility requirements may include the ability to sit at a computer terminal or work station for a prolonged period of time, in addition to being able to squat, stand and walk for a reasonable length of time and distance. Sensory requirements include the ability to articulate and comprehend the spoken English language, in addition to being able to read the English language.

Salary Range: $ 24.75-$36.53 /hour Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the state.
