Reports to the Director of Benefits & Compensation. Coordinates the day to day operations as they relate to Beacon Health System's retirement plans. Maintains benefit plans related files and records (such as information pertaining to associates' welfare and retirement with the organization). Serves as the primary contact for associate's who have escalated benefits-related questions and resolves various benefits problems. Helps coordinate benefit projects such as open enrollment and associate orientation.

Supervises the Benefits Team by:
- Scheduling and monitoring the workload of the Benefits associates, in accordance with the priority guidelines set by the Director of Benefits & Compensation. Assisting these associates with any questions or concerns. Communicating any concerns or problems to the Director of Benefits & Compensation as needed.
- Ensuring proper training for new hires within beneifts team.
- Planning and coordinating ongoing training for assigned associates.
- Coordinates and recommends changes to the Benefits Team processes to ensure efficient operations and excellent customer service provided to associates.
- Submits complete and thorough performance reviews for each direct report within established guidelines.
- Assists with any escalated benefit or appeals from associates.
Coordinates Beacon Health System's (BHS) retirement plans by:
- Ensuring compliance with provisions of the Employee Retirement Income Security Act (ERISA). Supervising the preparation of reports and applications which, by law, must be filed with federal and state agencies (such as the IRS, Department of Labor, Indiana Insurance Commission and other regulatory agencies).
- Managing the day-to-day operations of the Beacon Retirement Plans.
- Processing all invoices related to the retirement plans.
- Acting as a resource for employees and retirees regarding Beacon's retirement plans.
- Maintaining retirement guides for associates and managers to ensure accuracy and up-to-date information is provided.
- Counseling potential retirees on retirement plan options.
- Serving as the primary participant and vendor liaison for all retirement plans, include terminated plans.
- Assisting current and former employees and retirees with the paperwork for all rollovers, distributions and requests for loans, as needed.
- Managing the annual compliance testing of the Retirement Plans.
- Preparing and filing of Form 5500's for various plans.
- Preparing EPCRS documents for Welfare and Retirement Plans.
- Coordinating the timely execution of accepted Qualified Domestic Relations Orders (QDRO).
- Manages annual benefit audit and all other audits pertaining to the retirement plans as needed.
- Managing the annual True-Up process.
- Managing the annual auto increase process.
- Partnering with Marketing to ensure proper communication regarding the retirement plans.
Acts as a liaison with the benefit plan Third Party Administrators (and other vendors) and provides excellent customer service when assisting employees regarding their benefits by:
- Serving as a contact for associates, from all BHS entities, for benefits-related questions or concerns.
- Responding in a timely manner to inquiries from associates (either on the phone or in person) and explaining various benefits, including paid benefit time, health insurance, dental insurance, life insurance, flexible spending accounts, COBRA, tuition reimbursement, employee discounts and other applicable employee benefits.
- Resolving benefits-related problems and/or concerns for associates in a timely manner, which can include communicating with the Third-Party Administrators (or other vendor), as necessary, on the associate's behalf.
- Developing and maintaining working relationships with the Third-Party Administrators and other vendors.
- Playing a key role in activities related to Open Enrollment.
- Manages audits pertaining to the insurance plans as needed.
- Communicating with the Benefits Administrator regarding any adjustments to be made to the employee data that is maintained in PeopleSoft (for example, benefits added or terminated).
- Coordinating with Leave coordinator proper STD and LTD claims and handled properly.
- Handling any issues that pertain to prescription drug coverage.
- Preparing the BAS53 system reports and oversees that proper amounts are paid to associates.
- Oversees the annual testing for the benefits portal. Ensuring all benefits are presented properly to create a seamless enrollment experience for all associates.
Performs other functions to maintain personal competence and contribute to the overall effectiveness of the department by:
- Preparing and presenting a comprehensive benefits orientation for new hires.
- Preparing routine administrative and benefits-related reports (for example, by gathering data from department reports); also calculating and compiling statistical data for reports.
- Communicating with the Director of Benefits & HRIS, in a timely manner, regarding concerns or potential problems.
- Assisting with special benefits projects as requested.
- Participating on task force groups or committees as requested.
- Completing job-related assignments and special projects as required.
- Collaborate with the benefits team on all benefits communications.
- Collaborate with the benefits team on preparing and updating the benefits guide.
ORGANIZATIONAL RESPONSIBILITIES
Associate complies with the following organizational requirements:
- Attends and participates in department meetings and is accountable for all information shared.
- Completes mandatory education, annual competencies and department specific education within established timeframes.
- Completes annual employee health requirements within established timeframes.
- Maintains license/certification, registration in good standing throughout fiscal year.
- Direct patient care providers are required to maintain current BCLS (CPR) and other certifications as required by position/department.
- Consistently utilizes appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self.
- Adheres to regulatory agency requirements, survey process and compliance.
- Complies with established organization and department policies.
- Available to work overtime in addition to working additional or other shifts and schedules when required.
Education and Experience
- The knowledge, skills and abilities as indicated below are normally acquired through the successful completion of an undergraduate degree in Human Resources Management, Business Administration or a related area. Related experience may be substituted in lieu of a bachelor’s degree. Three to five years of related human resources experience (i.e., working with retirement plans and other benefits) is required.
Knowledge & Skills
- Requires thorough knowledge of human resources policies, practices and procedures as well as an understanding of state and federal regulations governing human resources practices related to pension plans and programs (such as the Rewards for Savings Plan).
- Demonstrates proficiency in basic computer skills (i.e., data entry, word processing and Excel). A basic understanding of database applications is desired.
- Requires excellent math skills and the ability to pay close attention to details.
- Demonstrates the interpersonal and communication skills (both verbal and written) necessary to interact effectively with staff, management, physicians and outside contacts. Presentation skills are also required.
- Demonstrates tact, professionalism and flexibility when interacting with a variety of people. Must also display sensitivity to employees' personal situations.
- Demonstrates the ability to ensure confidentiality and use discretion and sound judgment when making decisions and responding to questions and requests for information.
- Requires organization, analytical and problem-solving skills and the ability to work independently.
