The Opportunity
As Senior Coordinator, Legacy Donor Experience, you’ll join a high-performing development team on our Legacy and Planned Giving program – one that inspires generosity today and secures support for generations to come.
Reporting to the Director, Legacy & Planned Giving, you will serve as the central hub for the legacy program, coordinating and administering key activities that touch our donors across the program. You will coordinate event logistics, deploy donor communications, coordinate legacy journeys, and collaborate closely with internal teams to ensure accurate CRM tracking for legacy, back-end mapping, and future automations for journeys. Through strong communication, organization, and cross-team partnerships, you will help drive strategic initiatives and enhance cultivation and stewardship efforts, creating meaningful UNICEF experiences for new and long-time legacy supporters and prospects.

Key Accountabilities
Donor Experience Operations and CRM (35%)
- Coordinate legacy nurture and cultivation journey components in collaboration with Legacy Team, and action all responses
- Collaboration with Legacy Team and Business Solutions for deployment of journey communications
- Liaise with Manager, Prospect Research and Business Solutions on business rules and processes for CRM coding and tracking for legacy back-end journey and legacy activity mapping
- Ensure campaign responses are tracked and actioned by the Team for legacy campaign participation
- Create and maintain an interactive and engaging Legacy SharePoint hub for key legacy materials
- Participate in team meetings, contribute ideas, and collaborate on shared goals.
- Uphold donor ethics and adhere to internal policies and best practices.
- Maintain accurate records of donor interactions and activities in CRM
Event Coordination (25%)
- Support legacy events with registration platform setup, calendar invites, event invitations and approvals, invitation deployment, Zoom/Teams platform setup
- Prepare data segmentation in collaboration with Legacy and Business Solutions teams and organize relationship manager approvals for legacy event invitations
- Facilitate deployment of invitations alongside Business Solutions and monitor responses
- Ensure CRM tracking is set up and maintained in coordination with Business Solutions team guidelines, tracking RSVPs, attendance, and follow-up for each event
- Organize logistics including event thank you’s, name tags, A/V, registration tracking/check-in, materials
- Calendarize event briefings for internal team members
- Liaise with Prospect Research, where appropriate
- Prepare event reports and analytics
- Prepare slide deck presentations in support, as needed
Donor Relations & Recognition (25%)
- Triage legacy inquiries to appropriate team members
- Support on quarterly stewardship activities
- Prepare personalized welcome kits for all newly confirmed planned gifts, ensure CRM coding is captured
- Facilitate outbound mailings and emails such as Impact Reports, campaign letters, holiday, and special occasion greetings for donors
- Support the Legacy Team in capturing donor recognition preferences for both legacy community members and estate donors for inclusion in our annual Impact Report
Estate Administration (15%)
- Act as back-up on estate administration, including CRM tracking of specific estate attributes, update contacts and opportunities in each record
- Support on digitization of estate files by acting as liaison between legacy team and vendor
- Prepare acknowledgement letters, scan and save hardcopy documents
- Check mail regularly in-office and direct to Legacy team for follow-up
- Fulfillment of executor info kits, personalized greetings and touchpoints around impact
Qualifications
- 2-3 years of experience in an administrative or project management role
- A post-secondary education or equivalent experience with a focus on administration, communications, event management, or fundraising
- Proven strong interpersonal skills and ability to collaborate effectively
- Results-driven with the ability to work in a fast-paced environment, prioritize, and multi-task with strong organizational skills and follow-through
- Strong written and oral communication skills in English
- Bilingual (French) candidate an asset
- Experience with CRMs (Raiser’s Edge or Salesforce preferred)
- Proficiency in MS Office Word, Excel, PowerPoint, and SharePoint.
- Dedication to lifelong learning with interest in legacy giving
- Superb attention to detail, strong planning, and time management skills.
- Experience managing completing priorities and meeting deadlines.
- Self-starter, resourceful, and ability to work unsupervised in a professional manner
- Respectful of the sensitive nature of our work and adherence to privacy and confidentiality policies.
- Optimistic, supportive, and collaborative in spirit.
- Knowledge of and interest in UNICEF’s mission and values.
- Commitment to respect and inclusiveness.
- Some local and regional travel may be required for in-person donor meetings and events.
