THE DEPARTMENT
The following teams make up the Product & Operations department: Contracting, Data Management & Product services, Product Creation, and Tour Operations. Product & Operations is responsible for the creation, operation, inventory management and delivery of Globus, Cosmos, and Avalon Waterways in select destinations. This department is also responsible for supporting tour products planned and sold worldwide, including managing inventory and content.
THE ROLE
The role of North America Tour Director Administrator/Scheduler is to ensure we have an experienced trained Tour Director (TD) assigned to each tour departure.
THE POSITION
The North America Tour Director Administrator/Scheduler is responsible for the following results:
- Assist with the recruitment of Tour Directors, including conducting interviews for TD and/or local representative candidates Partner with Human Resources accordingly during recruitment process.
- Collaborate with HR to ensure we have a current database of potential candidates.
- Work with HR to ensure all new hires receive onboarding to the company.
- As required attending conferences to recruit and interview TDs; this may include ITMI, IATDG & Trip School
- Prepare contract and any additional paperwork required for all Tour Directors annually, including new hires and rehires.
- Managing new hires in the required systems such as Enterprise and TD portal; advising the appropriate departments on hire dates and other critical information.
- Prepare and distribute all TD supplies at the outset of each touring season, as well as throughout the season as required.
- Over the course of the operating season, maintain records of availability for all eligible TDs
- Manage the allocation chart with all tour departures, TD assignments, pre/post night requirements, while ensuring that tour departures are added or cancelled accordingly.
- Responsible for scheduling TDs for all North America tours using the established criteria
- Schedule training tours for TDs as needed throughout the touring season
- Maintain TDs years of service spreadsheet for travel benefits
- As required, assist with TD payroll and final tour accounting information
- Maintaining confidence and protecting operations by ensuring information remains confidential
- Contributing to a team effort by assisting with related projects as assigned by leadership to support Tour Operations
EDUCATION
The preferred candidate will hold a Associates degree in a related field or; or one to two years related experience and/or training; or equivalent combination of education and experience.
EXPERIENCE PREFERRED
The preferred candidate has noteworthy experience in the following areas:
- Working in a similar position within the travel field.
- Working with systems to enter, audit, and report on data.
- Travel destination logistical knowledge
- Globus family of brands product knowledge (preferred, but not required)
- Working level knowledge of Microsoft Excel and Microsoft Word
