Role Summary

The ideal candidate will bring substantial expertise in supporting executives, managing administrative functions, and coordinating schedules within the TV and entertainment industry. With strong communication and organizational skills, the candidate will ensure smooth office operations, effective coordination, and accurate management of confidential information. To excel in this role, the candidate must possess a solid foundation in administrative support, preferably with prior experience in a talent agency, management, or production company. They will also bring exceptional organizational skills to handle diverse tasks efficiently. Role Responsibilities
- Schedule, maintain, and anticipate executive calendar needs in real-time for meetings, videoconferences and calls, adapting to the demands of an international business spanning multiple time zones.
- Prepare meeting agendas in collaboration with executives, ensuring organized distribution of materials to attendees ahead of appointments.
- Document and organize meeting notes, ensuring timely distribution of follow-up materials.
- Manage executive expenses in adherence to company processes.
- Screen executive calls, handle inquiries tactfully, refer questions to appropriate personnel, and escalate when necessary.
- Arrange travel accommodation and process executive expenses in alignment with company policies.
- Compose routine and non-routine correspondences including submission letters, memos, and reports.
- Perform comprehensive coverage on submitted materials, returning insightful reports, and conducting project-specific research as needed.
- Attend production meetings, ensuring accurate typing, editing, copying, and distribution of scripts
- Manage submissions to executives, e.g., books, scripts, decks/pitch pages, and distribute or review as directed.
- Prepare talent lists and organize weekly book scout reports.
- Conduct market research and track industry trends, including ratings, audience data, competitive programming and emerging content trends.
- Actively engage in the production phase by assisting senior production staff, managing schedules, and contracts, as well as overseeing accounts and expenses.
- Manage ad hoc projects.
Requirements
- Expertise in MS office, G Suite, Zoom, Microsoft Teams, and Adobe.
- Strong communication skills, able to engage effectively across all levels of the organization and with external partners.
- Adaptive, resourceful, and mature, with excellent professional judgement.
- Commitment to confidentiality and diplomacy in all interactions.
- Familiarity with industry databases and platforms like Scenecronize, IMDBPro, Final Draft, Pix, Studio System.
- Demonstrated knowledge, genuine interest, and experience in television and radio are crucial.
- Experienced in assessing creative and commercial viability of scripts and books.
Compensation: $23-$25 / hr + OT
