Assistant Director, Perioperative Scheduling

Job Summary: Oversight of scheduling department, ensuring all patients are appropriately scheduled for perioperative surgical and procedural areas. Member of the Block Time Committee and collaborates withall perioperative disciplines to assist in establishing block time governance. Ensures adherence to established block rules and is an integral part of data mining and analytics for bock utilization, allocation, and reallocation.
Responsibilities:
- Oversight of scheduling office operations including staffing and scheduling of staff members, maintenance and implementation of booking, scheduling, report generation, and related policies and procedures.
- Ensure completeness of bookings for all procedures that fall within Perioperative Services
- Member of the Block Utilization Committee
- Monthly utilization analysis with the Business Manager of Periop
- Maintains the Cerner schedule with timely notification of any and all changes to the block schedule
- Communicates changes to surgeons’ offices and others
- Works and collaborates with WMC financial departments to facilitate the timely completion of payer preauthorization for surgery.
- Communication of surgeons on suspension list to the surgeon’s offices, and restricts booking according to policy
- Work with WMC IT department to ensure proper operation and maintenance of the OR Scheduling System, electronic booking request modules, document archiving systems, document repository system, and other IT systems related to scheduling
- Physician office outreach to nurture existing relationship with surgeons’ offices and to bring additional surgical case volume to WMC, which includes continual education and communication to ensure proper case booking request processes.
- Coordination with Head Nurses and Periop Leadership Team to ensure proper equipment and materials are scheduled and available in advance of the scheduled surgeries.
- Interviews and hires prospective staff to minimize vacancies.
- Integrates mentorship principles to retain staff.
- Provides clear performance expectations to direct reports and all team members.
- Employs sound judgment in use of the disciplinary process to manage staff behavior that does not respond to education or team building efforts.
- Eliminates barriers and roadblocks that impede progress.
- Applies dynamics in team building and problem solving
- Identifies and addresses problems undermining effectiveness.
- Promotes professional communication between care team members.
- Coordination/collaboration with other managers and other WMC departments. All other duties as assigned
Qualifications/Requirements:
Experience:
- 7 years practical experience in Perioperative Services, required.
Education:
- Associates Degree or equivalent nursing program, required
- Bachelor's Degree, preferred.
Licenses / Certifications:
- New York state LPN or RN license, preferred
Other:
- Knowledge of electronic surgical scheduling, preferred.
- Customer service and telephone skills, preferred.
- Demonstrates ability to communicate effectively computer skills.
- Ability to multitask, delegate, and prioritize
- Excellent problem solving and critical thinking skills
