About the Role
The Transportation Supervisor provides strategic and operational leadership over the wheelchair transportation department to ensure the safe, efficient, and dignified transport of all PACE participants. This role is responsible for overseeing daily routing operations, supervising departmental staff, managing safety and compliance initiatives, and supporting exceptional participant experience. The Transportation Supervisor provides direct leadership to on-site drivers while partnering with scheduling, dispatch, and center-based departments to support data accuracy, operational readiness, and high-quality service delivery.

The Transportation Supervisor demonstrates the knowledge and skills required to work with the elderly population and ensure transportation services align with organizational standards, PACE regulations, and contractual requirements.

Key Tasks and Responsibilities
Leadership & Team Management
Lead, mentor, and develop the Driver workforce, fostering a culture of accountability, respect, and teamwork.Oversee recruitment, onboarding, and performance management for transportation department staff.Partner with dispatch operations to ensure daily scheduling, dispatch functions, and route execution are running according to plan.Attend PACE Center IDT and Care Planning meetings each day and as scheduled by the Center Director, providing feedback on transportation needs at the participant level and communicating challenges to the team.Create and implement performance improvement plans, write-ups, and coaching logs.Conduct departmental meetings, safety meetings, and quarterly staff reviews.
Operational Oversight
Ensure efficient daily route planning, vehicle assignment, and workload distribution.Validate that schedules created by planners are accurate and align with participant appointments, resource availability, and operational goals.Support real-time problem-solving and decision-making to resolve scheduling challenges, vehicle issues, or personnel constraints.Oversee participant record maintenance, ensuring address, notes, and trip information are updated accurately.Coordinate monthly, quarterly, and annual reporting as required by Client Account Management and leadership.
Participant & Family Relations
Support service recovery efforts escalated from drivers, dispatch operations, and Client Account Management.Ensure participant feedback, concerns, and grievances are addressed within required timelines, elevating recurring issues to leadership as needed.Build positive rapport with participants, families, and PACE teams.
PACE Partnership & Interdisciplinary Collaboration
Participate in all required PACE meetings, including IDT, departmental leadership meetings, QAPI, staff meetings, and family care discussions.Work collaboratively with center-based professionals, nursing, scheduling, and social work to align transportation services with care planning.
Compliance, Safety & Standards
Ensure all Transportation Department staff comply with PACE, CMS, HIPAA, and internal KPI policy requirements.Oversee accident/incident reporting and ensure follow-up training is completed.Maintain accurate vehicle logs, safety training documentation, and competency records.Ensure training programs, retraining intervals, and safety meetings are consistent and documented.
Fleet Management
Ensure vehicles are inspected, maintained, and tracked according to safety expectations.Ensure preventative maintenance schedules are upheld and vehicle compliance records are available for review.Help prepare capital requests and replacement forecasts for fleet growth.
After-Hours Oversight
Participate in on-call rotation, ensuring teams have support and escalation access 24/7 as operational needs arise
Qualifications
Education & Training
High school diploma required, college degree preferred.Valid state driver's license or commercial driver's license.Preferred: Commercial driver license with passenger endorsement.Ability to learn and utilize dispatching and transportation software systems including:OCS (One Care Solutions)MS TeamsPayroll/HR systems (such as Rippling)Internal communication platforms
Knowledge & Experience
Experience in Senior Care or related human services industry.One-year experience with the elderly requiredExtensive knowledge of surrounding areas streets, neighborhoods, and traffic patterns.Vehicle scheduling and dispatching a plus.Previous supervisory or management experience required.3+ years of direct transportation, dispatch, and logistics.Knowledge of transportation scheduling systems, HIPAA regulations, ADA standards requirements.Bilingual language ability preferred.Strong leadership and staff development background.Sound judgment and the ability to manage complex schedules, people, and priorities.Excellent interpersonal, written, and verbal communication skills.PACE operational knowledge preferredPACE-related leadership experience preferred.

Must be able to work weekends, holidays, and any shift, as necessary.Might be required to drive vehicles as needed.
Physical Requirements
Be able to push 50lbs and lift 150lbs minimumPosition requires working in a seated position while operating computer, keyboard, mouse, phones and printers and filing of documentsPosition may require standing/walking for up to 4 hours.
