About the Role
Archer Academy of Accelerated Learning is seeking a bilingual (English/Spanish) Administrative Assistant who is highly organized, responsive, and committed to providing exceptional customer service to students, families, and community members. This role is a key part of the school’s front office operations and helps ensure that families feel welcomed, informed, and supported when engaging with our school community.
The Administrative Assistant works closely with the principal and staff, and acts as a family and community liaison to support communication, scheduling, attendance tracking, and day-to-day administrative functions. This position plays an important role in maintaining strong relationships with families and ensuring that school operations are organized, efficient, and responsive to community needs.
What You’ll Do
- Serve as a welcoming and professional first point of contact for students, families, and visitors, providing excellent customer service in both English and Spanish.
- Support communication with families by assisting with translation and bilingual outreach through phone calls, emails, written communication, and school announcements.
- Assist the Family and Community Liaison with family engagement efforts, event coordination, and community outreach.
- Track and maintain accurate student attendance records in the school’s student information system and assist with attendance follow-up with families.
- Help organize attendance data and prepare reports to support attendance improvement efforts.
- Assist the principal with calendar management, meeting scheduling, and coordination of school events and activities.
- Help prepare and distribute bilingual communications to families and the community, including newsletters, reminders, and event announcements.
- Maintain organized office systems, files, and documentation to support efficient school operations.
- Provide administrative support for meetings, school initiatives, and projects as directed by the principal or leadership team.
- Help coordinate logistics for school events, family engagement opportunities, and community activities.
- Maintain a welcoming, professional front office environment that reflects the school’s commitment to strong family partnerships.
- Plan and organize staff celebrations and morale boosters.
- Provide basic assistance to students experiencing minor injuries or health concerns in the absence of the school nurse, following school protocols and ensuring appropriate documentation and parent notification when needed.
- Enter purchase requisitions and assist with tracking routine supply orders to support school operations.
- Receive, log, and organize incoming shipments and materials, ensuring items are delivered to the appropriate staff members and reconciling associated purchase orders.
- Schedule service calls and coordinate maintenance or vendor visits for equipment, facilities, or operational needs as directed by school leadership.
Qualifications
- Fluency in both English and Spanish (required) with the ability to communicate clearly and professionally with families and community members.
- Demonstrated commitment to providing excellent customer service and building positive relationships with students, families, and staff.
- Strong organizational skills and attention to detail with the ability to manage multiple tasks in a fast-paced environment.
- Excellent written and verbal communication skills in both languages.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
- Experience in administrative support, school office operations, or customer service roles preferred.
- Comfort using digital systems, databases, and communication tools such as student information systems, Microsoft and Google applications, and email platforms.
- Ability to work collaboratively with school leadership and staff while also taking initiative independently.
