Every Child Pediatrics is seeking a motivated and detail-oriented individual to join its Fundraising & Development Department as a full-time Executive Assistant & Board Liaison. The successful candidate will play a key role in supporting the Chief Development Officer and contributing to the success of fundraising and marketing efforts. The position's schedule is 40 hours per week, Monday - Friday, and is primarily based at our administrative offices at 9197 Grant St, Thornton, CO 80229, with the option to discuss a flexible hybrid schedule after the first 3 months of employment. Responsibilities
Executive Support:
- Provide administrative support to the Chief Development Officer, including calendar management, meeting coordination, and document preparation.
- Assist in preparing materials for presentations, meetings, and donor interactions.
Board Liaison:
- Act as the primary point of contact between Administrative Leadership and the Board of Directors, ensuring seamless communication and follow-up.
- Assist with scheduling board meetings, including the annual retreat. Coordinate venue logistics and catering; prepare materials including agendas, reports, presentations, and meeting minutes; maintain accurate records; and ensure timely distribution of materials and updates to board members.
Event Coordination:
- Assist in the planning, coordination, and execution of fundraising events, including our 30th Anniversary Celebration on November 6, 2026, at the Denver Center for the Performing Arts!
- Assist with logistics, supplies, vendor coordination, and on-site support to provide an amazing experience for our participants.
Marketing Implementation:
- Assist with newsletters, mailer campaigns, printing needs, and collateral design.
- Order and maintain supplies.
- Coordinate with vendors to keep projects on time.
- Schedule and maintain frequent social media posts.
CRM Input:
- Assist in daily input, maintenance, and updates to the Customer Relationship Management (CRM) system with accurate and current donor information.
Donor Relations:
- Contribute to building and nurturing relationships with donors by providing excellent communication and timely acknowledgment of contributions.
- Assist in the preparation of donor communications, including newsletters, thank-you notes, and other relevant materials.
Fundraising Support:
- Assist with the implementation of fundraising campaigns through multiple channels and formats (e.g., direct mail, email, social media, phone).
- Assist in researching and identifying potential funding sources, grant opportunities, and partnership prospects.
Collaboration and Teamwork:
- Work collaboratively with other departments to ensure alignment of development efforts with organizational goals.
- Participate in team meetings, providing input and support for departmental initiatives.
Qualifications
Required:
- Minimum 3 years’ experience in administrative support role.
- Bachelor's degree in a relevant field.
- Self-starter with strong initiative and ability to work independently.
- Highly organized with excellent time-management skills.
- Strong attention to detail and accuracy.
- Experience managing calendars and coordinating meetings.
- Ability to handle a variety of assignments at one time, determine priorities, and complete assignments accurately and on time.
- Ability to interact effectively with all levels of the organization.
- Advanced Microsoft Office including Outlook, Word, PowerPoint, Canva, Adobe, and Excel.
- Exceptional communication; oral and written. Ability to communicate clearly and effectively. Excellent writing and proofreading skills.
- Proven ability to handle confidential matters.
- A passion for the mission and values of Every Child Pediatrics.
Preferred:
- Previous experience in event planning, fundraising, development, or marketing.
- Previous experience using CRM software (e.g., Salesforce, Virtuous, DonorPerfect).
- Knowledge of non-profit development best practices.
- Familiarity with social media platforms and email marketing tools.
