Job Summary: The Office Operations & Facilities Manager is responsible for leading the administrative, office, and facility-related operations of Circle U Foods.
This position oversees office systems, vendor relationships, visitor management, internal administrative projects, office technology coordination, and facilities-related issues affecting office areas. The role also supervises administrative support staff and janitorial personnel to ensure day-to-day office functions run smoothly.
This role is ideal for someone who enjoys solving operational problems, coordinating projects, and improving how systems work across the organization.
Key Responsibilities and Skills:
Office Operations
· Oversee daily office operations and ensure an organized, efficient, and professional workplace.
· Maintain and improve administrative systems, processes, and office procedures.
· Monitor office supply inventory and coordinate purchasing.
· Ensure office policies and operational standards are followed.
· Identify inefficiencies and implement improvements to office processes.
· Serve as the central coordination point for office-related needs across departments.
Facilities Management
· Monitor the condition of office spaces and common areas to ensure they remain clean, safe, and functional.
· Coordinate with the maintenance department or external vendors for facility repairs and improvements affecting office areas.
· Track facilities issues and ensure they are addressed in a timely manner.
· Coordinate contractors and service providers working in office areas.
· Support facility upgrades and workplace improvements.
Operational Project Coordination
· Coordinate internal operational projects related to office infrastructure and administrative systems.
· Manage projects such as installation or upgrades of office systems including security cameras, workplace improvements, and technology infrastructure.
· Research and evaluate vendors and service providers including managed IT partners and office-related vendors.
· Obtain quotes, review service proposals, and coordinate implementation of approved solutions.
· Track project timelines and ensure successful completion.
Office Technology & IT Coordination
· Serve as the internal liaison with third-party IT providers.
· Coordinate the purchase and setup of office technology including computers and related equipment.
· Maintain inventory of company devices and office hardware.
· Track device assignments and maintain accurate records.
· Ensure backup equipment is available when needed.
· Assist with minor troubleshooting and escalate technical issues as appropriate.
Team Leadership
· Supervise the Office Assistant responsible for daily administrative tasks.
· Assign and prioritize administrative work to ensure smooth office operations.
· Supervise janitorial staff and ensure facility cleanliness and housekeeping standards are maintained.
· Provide coaching, accountability, and performance feedback to support staff.
Visitor Management & Office Security
· Serve as the primary point of contact for visitors and guests.
· Manage visitor check-in and access systems.
· Ensure visitor policies and security procedures are followed.
· Manage door access and visitor flow at the front office.
Event Planning & Company Activities
· Plan and coordinate company meetings, events, and employee gatherings.
· Coordinate logistics including catering, supplies, and setup.
· Support employee engagement activities and internal events.
Administrative Oversight
· Oversee incoming and outgoing mail, packages, and office correspondence.
· Support employee onboarding logistics including workspace setup and office resources.
· Maintain organized administrative documentation and office records.
Education and/or Work Experience Requirements:
· High school diploma or equivalent required.
· 2-3 years of experience supervising staff is required.
· 3–5 years of experience in office management, administrative operations, or facilities coordination preferred.
· Bilingual in English and Spanish preferred.
· Strong organizational and project coordination skills.
· Strong critical thinking and problem-solving ability.
· Excellent written and verbal communication skills.
· Strong attention to detail and ability to manage multiple priorities.
· Ability to maintain confidentiality and handle sensitive information with discretion.
· Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams).

Physical Requirements and Working Conditions:
· Office environment with regular movement throughout the facility.
· This role requires frequent standing and walking as part of daily responsibilities.
· Daily exposure to manufacturing environments including dust, noise, and varying temperatures.
· Ability to sit, stand, or walk for extended periods as needed.
· Ability to lift up to 50 pounds occasionally.
· Employees must follow all food safety, hygiene, and Good Manufacturing Practice (GMP) requirements when entering production areas.
Personal Appearance & GMP Compliance
Due to the nature of food manufacturing and Good Manufacturing Practices (GMPs), employees must comply with company policies regarding personal hygiene and appearance while in production or warehouse areas.
This includes restrictions on items that may pose a contamination risk, such as artificial nails, nail polish, jewelry, false eyelashes, or other items that could detach or fall into food products. Employees must follow all GMP, hygiene, and food safety requirements when entering production areas.
Other Duties:
· Follow food safety and quality protocols.
· Follow GMPs (Good Manufacturing Practices), housekeeping and safe work practices.
· Other duties as assigned.
