Primary Function: To assist the administrative team providing secretarial support as needed.
Organizational Relationship: Reports directly to the Principal and/or Office Manager
Performance Responsibilities:Greets visitors; ensures sign-in and distributes visitor ID tags, prep meeting rooms and advise staffPrimary manager of security buzzer system and Main Office camera monitorAnswers phonesDistribute mailAssist w/daily arrival/dismissal of students, maintain bus company information in Realtime Assign parking based on Principal's directionMaintain Documents; school phone list, BOE list, Current Livingston StaffAssist in marking/tracking student absences on class list and communicating coverage changes throughout the day, update the class list and share via email daily. Enter student attendance in Realtime.Schedule interviews (non certified staff) as directed by principal, conduct reference checks (non-certified staff), distribute paperwork to the Business Office, assist as needed to prepare/distribute staff arrival/departure noticeMaintain 1:1 aide assignment logType and mail: student attendance lettersAssist in printing and mailing of progress reportsOrganize, type and maintain/return records for disenrolled/graduated studentsRespond to requests and referrals; maintain a log Maintains Fire Drill log/Update Fire drill attendance lists

Qualifications:
School Experience Strongly PreferredMinimum three years’ experience in general or school officeHS diploma/Secretarial trainingComputer skillsMinimum three years’ experience in general or school officeRequired criminal history background check and proof of U.S. citizenship or legal resident alien statusExperience with Google Documents, Sheets, Slides, etc.Strong analytical, communication, and problem-solving skills Excellent data input, punctuality, task completion, and willingness to work cooperatively with fellow staff membersAbility to learn computer programs quickly Ability to maintain confidentiality as required and appropriateAbility to multi-task and think flexibly in a fast moving, deadline oriented, environmentPossess strong organizational and time management skillsAbility to initiate projects, give suggestions, and anticipate beyond working from a checklist
