Position Title: Air & Ocean Import Agent

Position Summary
The Air & Ocean Imports Agent is responsible for coordinating and managing all aspects of international import shipments. This includes ensuring regulatory compliance, tracking shipments from origin to final delivery, and providing exceptional customer service to both external customers and internal partners. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Shipment Coordination
- Arrange and monitor international air and ocean import shipments from overseas origin to final delivery.
- Track cargo movements and ensure timely, accurate transportation from end to end.
Documentation Management
- Prepare, review, and process all required import documentation (commercial invoices, packing lists, bills of lading, arrival notices, etc.).
- Create required documentation for air import shipments and maintain complete, accurate filing for audits.
Customs Compliance
- Ensure shipments comply with U.S. Customs and partner Government Agency regulations.
- Coordinate with customs brokers to facilitate timely clearance.
Customer Service
- Proactively communicate shipment status, delays, and delivery updates to customers.
- Provide day-to-day tracking, tracing, and movement monitoring.
Carrier & Vendor Coordination
- Communicate with airlines, steamship lines, trucking companies, and overseas agents to confirm bookings, resolve discrepancies, and ensure smooth cargo flow.
- Create and distribute load tenders to appropriate transportation partners and follow up to ensure delivery performance.
Billing & Account Support
- Verify vendor invoices and generate customer billing.
- Resolve payment discrepancies and prevent invoicing errors.
Problem Resolution
- Identify and troubleshoot issues related to documentation, customs holds, transportation delays, or shipment exceptions.
- Escalate shipments at risk of missing scheduled commitments and keep customers and management informed.
Systems & Record Keeping
- Update and maintain accurate shipment data in the company’s operating system.
- Ensure proper recordkeeping for compliance, audit readiness, and service accuracy.
Additional Duties
- Collaborate effectively in a team environment.
- Perform additional related duties as assigned.
Qualifications
Education & Experience
- High school diploma or equivalent required; related trade certifications a plus.
- BA in Business, Logistics, International Trade, or related field preferred.
- Minimum 3-5 years of experience in International Air Freight Forwarding.
- Additional Freight Forwarding background (import/export regulations, IFS, AMS, CPB, TSA, CTPAT, domestic transport modes, pricing methodology) is advantageous.
Technical Skills
- Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint).
- Working knowledge of Transportation Management Systems (TMS).
- Experience using load boards (e.g., bid boards) is an asset.

Work Schedule
- Full-time onsite role (minimum 8 hours per day) with requisite meal and rest breaks.
- Consistent attendance and punctuality required.
- Ensure coverage of duties during planned absences.
Physical Requirements
- Ability to sit, walk, use hands/fingers for keyboarding, reach with arms, talk, and hear during regular work activities.
Compensation & Benefits
Salary Range: $25.00 - $30.00 Hourly range
Starting pay is based on multiple factors, including but not limited to education, work experience, skills, and job-related knowledge. Pay ranges may be modified in the future.
Additional Compensation: Other compensation includes, but is not limited to, bonuses, commissions, or stock options.
