Summary:
The Business Operations Associate plays a key role in ensuring the accuracy, efficiency, and timeliness of agent commissions, billing, and payment processes. Reporting to the Business Operations Lead, this position supports the daily execution and continuous improvement of the company's core operational workflows.
This individual will collaborate closely with the Operations, Sales, and Finance teams to ensure that incentive payouts, agent commissions, client billing, and payment files are processed accurately and on schedule. The role requires strong attention to detail, comfort working with data, and the ability to maintain organized documentation and clear communication across departments.

Key Responsibilities:
Commissions & Incentives
- Prepare and process incentive and commission payouts in alignment with established schedules and company policies.
- Maintain and update the commission payout calendar, tracking timelines, approvals, and dependencies.
- Validate data from CRM and financial systems to ensure payout accuracy and consistency.
- Support the reconciliation of payments against sales records and resolve discrepancies promptly.
- Assist in improving reporting, automation, and documentation within the commissions function.
Billing & Payment Processing
- Generate, review, and submit billing and payment files accurately and on time.
- Audit and verify payment data prior to processing to minimize errors.
- Maintain accurate documentation to support compliance and audit preparation.
- Collaborate with Finance and Operations to identify and implement process improvements that increase efficiency and accuracy.
Operations Support & Reporting
- Maintain data accuracy and consistency across CRM systems and operational databases.
- Track, monitor, and report on key metrics related to incentives, billing performance, and operational efficiency.
- Partner with cross-functional teams to ensure clear communication and alignment on processes.
- Provide administrative and analytical support for department initiatives, special projects, and process improvement efforts.
Qualifications
- 1–3 years of experience in operations, accounting, commissions, or financial administration (insurance or financial services experience preferred).
- Exceptional attention to detail with the ability to identify and correct numerical or data inconsistencies.
- Strong analytical and problem-solving skills; proficient in Microsoft Excel (formulas, pivot tables, lookups).
- Excellent communication and relationship-building skills; able to collaborate effectively across teams.
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- High level of integrity, discretion, and professionalism when handling sensitive financial information.
- Associate's or Bachelor's degree in Business, Accounting, Finance, or a related field preferred (or equivalent experience).
