As our Project Coordinator, you'll be the vital link between our design team, construction crews, vendors, and customers, ensuring every kitchen and bathroom remodeling project flows smoothly from contract to completion. You'll be responsible for reviewing contracts, managing subcontractor invoicing, and coordinating billing to keep our projects on track financially and operationally—from permits and scheduling to change orders and customer communication.

The Project Coordinator supports the construction team by managing the administrative, scheduling, and customer service functions necessary for the success of kitchen and bathroom remodeling projects. This position is central to keeping projects moving efficiently, ensuring proper communication between teams, processing change orders, and coordinating tasks between sales, operations, and clients. The ideal candidate is highly organized, communicates well with both clients and internal staff, and demonstrates follow-through in a fast-paced environment.
The Project Coordinator will be responsible for:
· Administer contract generation, review, and execution in partnership with designers and estimators.
· Prepare, file, and track permit applications and required documentation.
· Create and maintain electronic and hard-copy job folders for assigned projects.
· Coordinate delivery and pickup of project materials with vendors and field staff.
· Receive and organize material and labor sales orders; verify forecast dates and align subcontractor assignments.
· Collect customer payments and change order balances once labor begins.
· Issue and track all change orders via DocuSign and ensure POS and invoicing are complete.
· Receive and verify subcontractor invoices, submit to accounting, and notify PM of any cost discrepancies.
· Manage CRM entries, status changes, scheduling adjustments, and documentation in Buildertrend.
· Serve as a point of contact for service calls and warranty issues in coordination with PM.
· Send customer close-out packages, warranty letters, and satisfaction surveys upon job completion.
· Support “hang only” installation project execution as directed by Project Manager or Regional Construction Manager.
· Monitor all construction schedules in Buildertrend and coordinate with PMs to ensure an even project closeout flow that supports consistent weekly invoicing.
· Receive weekly subcontractor invoices, verify accuracy against scope and delivery, and ensure timely entry of costs into the POS system to support consistent and accurate billing.
