Legal Operations CoordinatorPosition Purpose:
The Legal Operations Coordinator maintains the corporate records for the health system, manages the Legal Department’s contract database, prepares reports and analyses on key performance indicators, assists with governance matters including preparation of minutes, and the logistics of board meetings and board committee meetings, provides operational support to the Legal department and assists with risk management and insurance functions. This position reports to General Counsel.
Key Job Activities:
-Responsible for the maintenance of corporate records, including but not limited to the Illinois Secretary of State reporting, review and storing of records from government entities, corporate licensure documents, and the like.
-Sources, evaluates, implements, and trains staff on the contract database and other software programs used by the Legal department.
-Assists with management of the legal department’s budget and dashboard and regularly updates and monitors the budget to help control costs.
-Assists with the development, implementation, and oversight of the contract management program.
-Assist with the handling of all bills and invoices for the legal and risk department.
-Responsible for preparing minutes, board meeting and board committee meeting packets, and assisting the Board on a variety of scheduling and other issues.
-Handles requests for all certificates of insurance and assists with the monitoring of non-professional liability claims.
-Assists with the development of best-in-class systems, policies, and processes required for maximum efficiency and consistency across the department.
-Assists with new hire onboarding and onboarding of legal interns.
-Completes ad hoc and special projects as requested/required by the General Counsel and Associate General Counsel.
-Provides administrative support for the Legal and Risk Department.
-Works with outside counsel on deposition and other discovery matters.
Performs other duties as assigned.
Education and Work Experience:
Associate degree required
Paralegal Certification required
Minimum of 3 years of in-house legal experience
Demonstrated contract management experience preferred
Paralegal experience, ideally within the healthcare setting
Knowledge and Skills:
Knowledge and demonstrable experience implementing and managing core legal systems, such as MediTract.
Ability to manage a fast-paced legal department’s operational needs.
Understanding of intermediate finance concepts and processes, gained through education or experience.
Mastery of Microsoft applications.
Ability to simultaneously drive multiple projects and identify, prioritize and resolve key business issue.
Works independently as well as under general instructions.
Expected to determine how to accomplish the work assignments.
This position will be privy to highly confidential information and will have responsibilities that require direct contact with internal and external clients.
Assists the General Counsel in department operations management.
Experience in EPIC and MEDITECH software systems preferred.
