Reports to the Manager, Admitting. Supervises and coordinates the daily workflow in the Admitting Department to ensure accurate and efficient admitting process. Motivates and requests suggestions from staff to meet the standards of service and improve department function. Schedules department staff ensuring equitable work and staff distribution and adjusts staffing to meet volume.

Admission/Registration Process
- Supervises and coordinates the daily workflow in Admitting ensuring accurate and efficient admitting process.
- Monitors and rectifies any patient registration bottleneck situations.
- Coordinates and recommends changes to the STAR Systems to ensure an efficient admission/registration process.
- Performs testing for upgrades on all department systems.
- Monitors the overall function of the Admitting Registration and clerical areas on a day-to-day basis and directs the workflow to ensure that department and hospital resources are utilized as efficiently as possible while maintaining good customer service.
- Adjusts staffing to meet volumes to assure minimum overtime and use of people while providing enough staff to meet the established department standards.
- Ensures that department meeting minutes as well as department typing, memos and forms are completed in a timely manner.
- Maintains all department manuals and QA reports.
- Follows up on complaints and issues in a timely manner.
Department Supervision
- Schedules department staff ensuring equitable work and staff distribution and adjusts staffing to meet volume, to assure minimum overtime and use of people providing enough staff to meet the standard of service.
- Submits complete and thorough performance reviews for each direct report within established guidelines.
- Maintains, updates, and keeps current and complete documentation in employee department file. This includes positive feedback and recognition as well as problem follow up and notable events or conversations.
- Hires qualified staff in accordance with hospital policies to meet department needs.
- Works toward positive solutions for staff and department issues.
- Responsible for department on-call rotation, which includes weekends and holidays, to ensure that the department is staffed at all times.
- Ensures that timecards, attendance records, and employee statistical data is accurately maintained and current at all times.
- Directs employee's in prioritizing their workload.
- Works independently of Manager in overseeing department.
Leadership
- Identifies areas needing improvement by motivating and requesting suggestions from staff to meet the standards of service and improve department function.
- Monitors the overall effectiveness of area operations and identifies problems and concerns and takes corrective actions or recommends a solution.
- Ensures that all employees are properly trained and cross-trained in all areas of required work.
- Sets and accomplishes annual goals for department and self.
- Utilizes resources wisely by delegating tasks when possible.
- Assists with initial and ongoing project analysis, communicating with the manager concerns and ideas based on staff input, personal views, cost, and resource components.
- Expects, maintains and develops top performance of staff.
- Holds staff accountable for results by following Beacon's disciplinary policy.
- Works on special projects as needed including development of policies and serving on interdepartmental committees.
- Provides adequate staff training to ensure an accurate registration that meets all Medicare, Medical Necessity and regulating agency guidelines.
Financial
- Adjusts staffing to meet volume, assuring minimum overtime and use of people while providing enough staff to meet standards of service.
- Monitors department supply usage to eliminate waste or over stocking.
- Provides staffing justification reports to department manager.
- Develops cost savings in daily operations when possible.
- Maintains equipment to ensure optimal usage.
- Contributes to annual budget planning and process.
Contribute to the overall effectiveness of the department:
- Completes other job-related duties and projects as assigned.
ORGANIZATIONAL RESPONSIBILITIES
Associate complies with the following organizational requirements:
- Attends and participates in department meetings and is accountable for all information shared.
- Completes mandatory education, annual competencies and department specific education within established timeframes.
- Completes annual employee health requirements within established timeframes.
- Maintains license/certification, registration in good standing throughout fiscal year.
- Direct patient care providers are required to maintain current BCLS (CPR) and other certifications as required by position/department.
- Consistently utilizes appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self.
- Adheres to regulatory agency requirements, survey process and compliance.
- Complies with established organization and department policies.
- Available to work overtime in addition to working additional or other shifts and schedules when required.

Education and Experience
- The knowledge, skills, and abilities as indicated below are normally acquired through the successful completion of a High School Diploma or equivalent. A minimum of one to two years of job-related experience is required. Previous supervisory experience required.
Knowledge & Skills
- Requires understanding of office procedures and medical terminology.
- Good communications and problem-solving skills.
- Three years office experience with one year's previous experience in a medical office background.
- Previous supervisory experience preferred.
Working Conditions
- Works in a clean, well-lighted and well-ventilated office with no apparent direct exposure to physical hazards.
- The possibility of eye strain from using CRT screens.
Physical Demands
- Work is normally performed in a sitting position.
- Requires bending, lifting, standing, and frequent walking.
