The Opportunity
We are looking for a proactive and highly organized Executive Assistant to support our CEO and executive leadership team. In this pivotal role, you will manage day-to-day operations, coordinate cross-functional initiatives, and ensure smooth execution of administrative, travel, and office management responsibilities.
You will be the connective force that keeps our CEO focused and helps the entire company stay organized and running smoothly. This role offers variety, responsibility, and a chance to directly shape the success of the CEO, the leadership team, and the company as a whole. From high-level scheduling and board prep to making sure travel runs like clockwork and the office feels vibrant and supported, this role offers variety, responsibility, and the chance to make a big impact.
From optimizing a high-volume executive calendar to coordinating company-wide off-sites and ensuring our office hums, you'll play a central role in helping us grow toward our goal of $10M in revenue by the end of 2026.

Responsibilities
Executive & Leadership Support 65%
- Master the CEO's calendar: Treat it like a strategic puzzle, maximizing impact, protecting focus time, and balancing work, travel, and personal well-being.
- Anticipate and prioritize: Structure schedules to create space for high-value work, ensuring efficiency while aligning internal and external commitments across ventures and stakeholders.
- Drive leadership alignment: Coordinate and facilitate executive meetings, prepare agendas, track action items, and ensure follow-through on strategic initiatives.
- Act as an operational integrator: Partner with the Chief of Staff and leadership team to connect vision to execution, monitor priorities, and push accountability with curiosity and clarity.
Travel & Event Coordination 25%
- Own all travel planning: Manage complex travel for the CEO and team, blending business and personal trips into seamless end-to-end itineraries that prioritize efficiency, comfort, and well-being.
- Coordinate events and gatherings: Plan external trade shows, expos, and company off-sites in partnership with internal teams and vendors, ensuring smooth, stress-free, and ergonomic experiences.
- Ensure flawless execution: Handle real-time problem solving, manage logistics from expenses to shipping, and partner with Marketing so conferences, tradeshows, and company events run without a hitch.
- Systemize processes: Build repeatable systems for travel and event coordination that improve adaptability, reliability, and alignment with broader company goals actively, turning logistical friction into streamlined, repeatable operations
Office & Operations Management 10%
- Implement and refine systems: Own documentation and operational processes, ensuring information is consistent, transparent, and scalable as the company grows.
- Maintain infrastructure and rhythms: Build and sustain workflows, tools, and cadences that enable collaboration, knowledge sharing, and reliable execution across teams.
- Oversee office operations: Manage supplies, equipment, vendors, and facilities with an emphasis on ergonomics and workplace comfort to maximize productivity.
- Foster culture and environment: Organize team events, recognition moments, and a healthy office vibe while managing logistics such as mail and deliveries to keep the workspace smooth, engaging, and supportive.
Qualifications
- 3+ years of experience as an Executive Assistant or in a comparable role supporting C-level executives in fast-paced environments
- Proven ability to manage complex calendars, coordinate international travel, and streamline executive workflows for maximum efficiency.
- Strong organizational skills with a track record of handling multiple priorities and deadlines without dropping details
- Excellent written and verbal communication skills, with confidence interacting at all levels, from team members to board directors.
- Comfortable with productivity and collaboration tools, including GSuite, Slack, and Asana

Compensation and Benefits:
- Annual salary range is $70,000 - $85,000, based on experience.
