We are seeking an organized, proactive, and dependable Office Manager for our Brooklyn Park, MN location, to oversee daily operations across our Minnesota locations while supporting global initiatives within the ISC (Integrated Supply Chain) team.
The ideal candidate is a hands-on leader who thrives in a fast-paced environment, manages multiple priorities with ease, and collaborates effectively with both local and global teams. This role ensures our workplaces are efficient, safe, and welcoming - empowering our teams to do their best work. Key responsibilities include overseeing administrative functions, managing vendor relationships, coordinating projects, and ensuring compliance with safety standards and company policies.
Key Responsibilities:
- Office and Site Operations: oversee daily administrative functions, including meeting coordination, event planning, and general site support to ensure a productive work environment.
- Inventory & Supplies Management: monitor stock levels, entering purchase requests and order supplies, and maintain vendor relationships to ensure timely, cost-effective procurement.
- Facilities Oversight: partner with facilities teams to coordinate repairs, manage cleaning and maintenance services, and maintain a safe, well-kept workspace.
- Budgeting & Expense Tracking: support office budgeting by reviewing, approving invoices, tracking expenses and services with entering purchase requests as required, and managing petty cash (if applicable).
- Materials Management support: create, update and maintain master data in SAP, do data validation and reporting
- Project Management: lead or support office-related projects such as expansions, space planning, relocations, renovations, or process improvements. Coordinate with internal stakeholders and vendors, manage timelines, and ensure successful execution.
- HR-Related Support: assist with HR tasks such as coordinating employee engagement activities, maintaining local employee records, supporting employee communications, and facilitating training logistics in partnership with the HR team.
- Onboarding & Offboarding Support: coordinate administrative logistics for new hires and departing employees, including workstation setup, access management, and orientation support.
- Documentation Management: managing existing ISC programs, procedures, and policies. Collaborate with respective owners to create and maintain procedures, ensuring compliance with relevant standards.
- Compliance & Security: support the global HSE and Security team to ensure adherence to internal policies, data privacy standards, and local regulatory requirements.
- Additional Responsibilities: perform other duties as assigned or required
You Must Have:
- Bachelor’s degree or 5+ years of progressive experience in office, site operations or facilities management required
- Due to Contractual requirements, must be a U.S. Person defined as, U.S. citizen permanent resident or green card holder, workers granted asylum or refugee status
- Due to national security requirements imposed by the U.S. Government, candidates for this position must not be a People's Republic of China national or Russian national unless the candidate is also a U.S. citizen.
We Value:
- Demonstrated experience in office management, facilities coordination, or site operations.
- Strong organizational skills with the ability to manage multiple priorities effectively.
- Proficiency with office productivity tools, such as Microsoft Office, Google Workspace and Smartsheet.
- Excellent verbal and written communication skills.
- Prior experience supporting multiple office locations is highly desirable.
- Capability to lead small-scale projects, streamline processes, and assist with HR and onboarding activities
